Description

Reports to: Operations Director

Supervises: Receiver, Sort Room Coordinator, Warehouse Associate

The Warehouse Manager oversees all daily warehouse floor operations at the food bank. S/he oversees and guides warehouse staff in the areas of Receiving, Order Pulling, Cooler / Freezer, and the Agency Distribution Center. It is the WM’s responsibility to coordinate and facilitate the food bank’s compliance with quality, safety, security, regulatory and company policies. As the supervisor of the warehouse team, the WM must be skilled in employee supervision, coaching, and training.

RESPONSIBILITIES

Leadership & Management

  • Develop and maintain effective working relationships and deal tactfully, cooperatively, and effectively with staff members, volunteers, agencies, community organizations, food donors, and potential donors.
  • Communicate effectively and respectfully with people from different racial, ethnic and cultural groups and from different backgrounds and lifestyles; demonstrating a knowledge of and sensitivity to their needs.
  • Direct, manage, supervise, evaluate, train and motivate warehouse staff.
  • Ensure a culture of safety amongst warehouse staff and volunteers.
  • Ensure that warehouse staff receives appropriate training in key job elements, cross training, volunteer supervision, and food bank policies and procedures.
  • Prepare reports on warehouse activities as requested.
  • Support Operations Director with scheduling and routing as needed using WMS and MS Teams.
  • Perform opening and closing duties as scheduled.

General Warehousing,

  • Plan and direct warehouse operations including receiving, racking, sorting, packing, order pulling, stocking, food safety, safety, and assist with inventory management.
  • Ensure inventory accuracy through good warehousing, accurate order pulling, storage, stock rotation, and inventory practices.
  • Manage product inventory to ensure FEFO: First Expired First Out
  • Participate in inventory counting
  • Ensure compliance with regulatory agencies and assist with the preparation and coordination of warehouse inspections and audits.
  • Oversee and maintain receiving paperwork, order fulfillment, temperature logs, stock locations etc.
  • Report need for facility, equipment, and vehicles repairs in a timely manner.
  • Monitor theft prevention safeguards to assure integrity of inventory.

Driving

  • Periodic driving. Perform the timely, safe, and efficient pick-up and delivery of Second Harvest products.
  • Safely drive sit-down forklift and stand-up reach forklift in a warehouse setting.
  • Operation of manual and electric pallet jacks.

Sort Room

  • Supervise Sort Room Coordinator.
  • Monitor sort room packing / sorting schedule, allocate labor to ensure completion.
  • Establish sort room operations plan to ensure compliance with quality and food safety standards.
  • Ensure sort room SOPs are followed.
  • Serve as back up for Sort Room Coordinator

Receiving

  • Supervise Receiver
  • Oversee incoming donations and the loading/unloading of product.
  • Perform and oversee quality inspection of product upon arrival
  • Ensure compliance with receiving procedures
  • Complete receiving paperwork, including receiving log, hold tags, and non-conforming product
  • Track put-away times and ensure compliance with time and temperature requirements
  • Serve as back up for Receiver

Order Pulling

  • Supervise Warehouse Associate(s)
  • Oversee and direct volunteers in proper order pulling methods
  • Pull fresh, frozen, dry food orders in an accurate and timely manner, with attention to food safety and quality.
  • Ensure accurate order fulfillment.

Cooler / Freezer

  • Manage cooler / freezer inventory using FEFO
  • Ensure cleanliness and orderliness of cooler / freezer
  • Ensure proper temperature control
  • Ensure safe cold room practices are employed

Safety / Food Safety and Training

  • Ensure food safety compliance by staff and volunteers to established standards.
  • Serve on the Safety Committee, which ensures implementation of Second Harvest’s Injury and Illness Program.
  • Member of the Recall Committee
  • Member of the Food Defense Committee
  • Participate in warehouse safety inspections.
  • Lead and implement staff training

Food Distribution

  • Ensure quality services to partner agencies and food bank programs with accurate orders, and quality customer service.
  • Oversee stocking of product in Agency Distribution Center

Business Process Development

  • Contribute with research, recommendations and implements improvements to business processes and procedures and ensure that the organization meets community needs.
  • Develop systems and procedures that ensure smooth functioning of the warehouse; documents and updates warehouse procedures and trains staff on policies and procedures.
  • Develop and document SOPs for critical warehouse processes.

Job Details: This is a full-time, regular, non-exempt position with a salary of $41,000 - $51,000; depending on experience. The position is Monday through Friday with occasional overtime required.

Position Requirements

QUALIFICATIONS:

Education, Training & Experience

At least three years of progressively responsible experience managing warehouse distribution centers that includes three years of supervisory, administrative, and organizational experience, or the equivalent combination of education and experience. Bilingual in English/Spanish required.

Knowledge, Skills & Abilities

  • Knowledge of warehouse operations, food safety, safety, and inventory control.
  • Knowledge of the principles and practices of supervision, training, and motivation.
  • Knowledge of best practices for the storage and distribution of food including fresh food handling and cold chain management.
  • Ability to work in conjunction with the leadership team to promote the vision and mission of Second Harvest. This includes friendly communication, teamwork, employee satisfaction, and employee retention.
  • Ability to resolve conflicts and facilitate meetings.
  • Knowledge of warehouse sanitation and safety procedures.
  • Ability to analyze and solve problems, and to perform multiple duties.
  • Ability to work under pressure and to meet deadlines.
  • Ability to work as a part of a team, to foster teamwork, and to provide excellent service to coworkers and customers.

Physical Requirements

  • Able to work in a cold environment.
  • Able to lift up to 60 pounds.
  • Able to see and read documents.
  • Able to walk up and down stairs.
  • Able to hear normal conversations on the phone and in person.
  • Able to stand and walk for up to four hours.

OTHER REQUIREMENTS:

  • Certification to certify forklift drivers strongly preferred. At a minimum, must enroll in appropriate forklift driver training program immediately upon hire.
  • Must have access to a motor vehicle, as well as valid auto insurance coverage, for occasional driving on the job.
  • Must have valid California Driver’s License and a satisfactory driving record, as documented by a current MVR (will be obtained by the Food Bank’s insurance carrier).
  • Proficient in Microsoft Excel, and the Microsoft Office Suite generally.
  • It is the responsibility of all SHFB personnel to participate in our Food Safety/Food Defense programs.
