Job Summary

Manage and facilitate the work of the committees responsible for both the Academy Awards and Academy membership in the following branches: Costume Designers, Music, Production Design, and Sound. Additionally, this role is the department’s point person for voting. This position reports to the Managing Director, Member Relations and Awards, and supervises a coordinator as well as a shared assistant and seasonal support as needed. In addition, this person will work closely with the Membership Outreach team to activate and engage the membership for events, programming and membership mentorships. This associate director will also work with the staff to help the Academy reach its ongoing diversity goals.

This position requires a candidate with a high degree of human relations skills as well as a strategic nature. The successful candidate should excel at diplomacy, establishing and developing relationships, leadership, and maintaining composure in a fast-paced and stressful environment.

 
Position Requirements
  • Develop and implement strategies to increase member engagement and voting in special categories.
  • Must understand and interpret the rules governing the associate director’s categories. Annually work with committees to set awards rules.
  • Responsible for ensuring efficient and effective management of membership, screenings, and related issues for categories and branches.
  • Coordinate and facilitate Branch Executive Committees’ meetings and subcommittee meetings as needed.
  • As the Branch liaison, work towards developing further member engagement through Branch member events, programs and initiatives.
  • Develop strategies on the new membership initiatives and contribute towards the yearly membership review process.
  • Manage and respond to inquiries regarding the awards submission process, particularly for the Original Song and Original Score categories which have a separate submission process and multiple deliverables for each award entry; oversee and supervise voting screenings if needed.
  • Determine eligibility entries for the awards categories of the branches listed above.
  • Serve as department point person for voting for Academy Awards, Governor and Committee Elections, and potential additional voting scenarios as needed. Relay issues from voting members and trouble-shoot to resolve questions from the development team, as well as being on point for generation & delivery of accurate ballot lists for ingest into online voting system. Participate in daily morning conference calls for status updates during active voting periods is mandatory.
  • Represent the Academy through outreach to festivals and other organizations to clarify rules, eligibility and membership-related questions.
  • Respond to inquiries by filmmakers, publicists, distribution companies, and the general public. Work with Communications to provide accurate response to press inquiries.
  • Work with Communications on increasing voter participation and engagement and general membership communication.
  • Communicate with filmmakers regarding ineligible films and rules violations.
  • Other tasks as assigned by the Managing Director, Member Relations and Awards.
  • Supervises one direct report.

Qualifications and Requirements

  • Bachelor’s degree with a minimum of 7 years of experience.
  • At least 3 years of experience working with a non-profit, membership-based organization, preferably at a film or arts-focused institution.
  • Demonstrated experience directly leading and managing staff.
  • Ability to manage and assign tasks to support staff and provide performance feedback.
  • Must be able to work independently with the ability to juggle priorities and manage time to effectively meet deadlines.
  • Strong organizational and project management skills with the ability to handle a sometimes-heavy workload in a fast-paced work environment.
  • A self-directed and resourceful person who is supportive, personable, and able to manage multiple priorities.
  • Proactive in asking questions when needed and resourceful in solving problems. Strong interpersonal, written, and verbal communications skills.
  • Must exhibit a high level of professionalism and confidentiality.
  • Must be detail-oriented and organized, with excellent follow-through skills.
  • Proficient in Microsoft office. Experience with CRM desired.
  • Able to anticipate needs and act upon requests independently.
  • Strong knowledge of and interest in film and current motion picture industry.
  • Must be able to work evenings, weekends, and some holidays as well as late hours on short notice.
