Job Summary:

This position performs administrative support duties for the management and branch, as well as manages the electronic equipment inventory. Greets visitors and performs general office duties.

*Essential Functions and Responsibilities:

  1. Assist Manager and branch with appointments, reports, and administrative tasks.
  2. Schedule Technicians for service & inspections, as directed by Supervisor/Manager.
  3. Order, receive, catalogue, and distribute electronic materials and equipment.
  4. Properly handle customer issues and complaints.
  5. Greet visitors in a friendly, professional manner.
  6. Answer multi-line phone, route calls to appropriate individual and take messages as necessary.
  7. Open office Monday through Friday mornings at 8:00 am and close at 5:00 pm.
  8. Perform general clerical duties to include but not limited to: photocopying, scanning, laminating, faxing, mailing and filing.
  9. Maintain a positive work atmosphere by interacting with the Midwest Alarm Services internal/external customers (including, but not limited to: current customers, prospective customers, clients, vendors, co-workers, supervisors and management) in a mutually respectful manner regardless of race, color, religion, gender, national origin, age, disability, veteran status, sexual orientation and all other protected classes.
  10. Adhere to the highest standards of ethical business conduct and compliance by acting lawfully, ethically, honestly and professionally in the performance of their jobs at all times as well as be in compliance with company policy and procedures as it relates to their job function.
  11. When appropriate, inform customers of Midwest Alarm Services of products and services and refer business to appropriate department.
  12. As this position develops, the employee may be assigned additional duties or special projects as deemed necessary by management.
  13. Assume responsibility for understanding and complying with Midwest Alarm Services attendance expectations.

Position Requirements

Education and/or Experience:

  1. High School Diploma or GED required. Associates or Bachelor’s Degree preferred.
  2. Minimum 3 years Administrative Assistant experience preferred.

Knowledge/Skills/Abilities:

  1. Must be very proficient in Microsoft Office Applications including Excel, PowerPoint, Outlook, and Word.
  2. Ability to write reports, business correspondence and procedure manuals.
  3. Ability to effectively present information and respond to questions from managers, clients, customers, and general public.
  4. Must have exceptional organizational, written and communication skills.
  5. Must have the ability to work with a variety of personalities and flexible in areas of responsibility.
  6. Must be proactive and able to anticipate needs and task requirements.
  7. Must be a self-motivated, and detail-oriented, individual with a professional image.
  8. Must be able to handle multiple tasks and meet deadlines.
  9. Must be able to work in a team environment.
  10. Must possess the values important to Midwest Alarm Services – Integrity, Communication, Excellent Service, and Accountability

Licenses/Certifications:

  1. Must have a valid driver’s license and a good driving record.

Equipment/Software:

This position operates a variety of office equipment to include, but not limited to, personal computers, printers, scanners and calculators. Working knowledge of Microsoft Office products required. Must be a fast-learner of inter-office computer programs used throughout Midwest Alarm Services.

While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to stand, walk, and sit. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception.

While performing the duties of this job (including but not limited to, duties involving site surveys, client visits and post inspections), the employee is occasionally exposed to wet and/or humid conditions, moving mechanical parts, fumes or airborne particles, toxic or caustic chemicals, outside weather conditions, risk of electrical shock, radiation and vibration. The noise level in the work environment is usually quiet to moderate, resulting primarily from phones ringing, printers and traffic of individuals within the office environment.
