Operations Supervisor, Electronic Division

Job Summary:

As Operations Supervisor of Electronic Security for Per Mar Security Services, this position is responsible for the development and promotion of operational policies and procedures for the branch, as well as supervision of the Installation, Inventory, and Service Departments.

*Essential Functions and Responsibilities:

  1. Assist the Sales Manager in development of sales department knowledge and system design and requirements.
  2. Develop and promote operations policies and procedures for the branch.
  3. Responsible for supervision of Installation, Inventory, and Service Departments.
  4. Assist the Per Mar Customer Service Department on troubleshooting alarm issues.
  5. Help train technicians on Central Station and alarm technology.
  6. Assist and work with central station on service dispatch and false alarm reduction.
  7. Develop methods of service and installation efficiencies that will improve branch operations and customer support.
  8. Develop methods of technician certification and training to meet the needs and requirements of Per Mar Security.
  9. Responsible for inventory integrity, proper branch level of inventory with high regard and recognition of Just-In-Time Inventory to reduce branch inventory carrying costs.
  10. Interview, hire, train, lead and evaluate technicians.
  11. Process all completed service tickets and billings on a daily basis.
  12. Review the pending service ticket queue and verify the parts are on order and the tickets are scheduled and ensure that there are no tickets in the pending queue waiting for parts in excess of 10 days.
  13. Enforce the vehicle policy and verify the quarterly vehicle inspections are being performed by the service techs. Verify the proper vehicle maintenance is being performed in a timely manner to prevent negligent damage.
  14. Oversee that all scheduled fire inspections are being completed in the assigned time frame.
  15. Process, track, and prepare all local A/P invoices and PO's within 48 hours of receiving them. Verify invoices have been applied to job costing and are coded correctly prior to sending to Accounts Payable for processing.
  16. Handle all service billing inquires and complaints with 48 hours. Complete all assigned collection step items within 5 business days.
  17. Oversee the receivables and collection steps to ensure our customers are satisfied and we collect the past due balances within 60 days.
  18. Assist and support the service technicians in the field with troublesome accounts.
  19. Assist the sales staff with design questions and concepts when required.
  20. Use zero value parts on service tickets when possible and verify equipment repairs and warranty parts are turned into the Material Handler.
  21. Handle customer technical questions on the phone, and visit the site in person on technical issues that have elevated to a customer complaint.
  22. Review the excessive signals on a weekly basis and determine the next action plan for each account. Send an update to Central Station Manager on a weekly basis.
  23. Monitor the daily shift reports and take corrective action on customer complaints and troublesome the same business day.
  24. Hold monthly service/install meetings and cross train & educate the technicians, and communicate performance status. Implement ongoing training procedures for all non-sales personnel within the branch.
  25. Hold Technical Staff accountable with utilizing the Field Service Units (FSU's) on a daily basis to ensure efficiency.
  26. Coordinate any necessary building maintenance issues with PMC facilities.
  27. Maintain a positive work atmosphere by interacting with the Per Mar Security Services internal/external customers (including, but not limited to: current customers, prospective customers, clients, vendors, co-workers, supervisors and management) in a mutually respectful manner regardless of race, color, religion, gender, national origin, age, disability, veteran status, sexual orientation and all other protected classes.
  28. Adhere to the highest standards of ethical business conduct and compliance by acting lawfully, ethically, honestly and professionally in the performance of their jobs at all times as well as be in compliance with company policy and procedures as it relates to their job function.
  29. When appropriate, inform customers of Per Mar Security Services of products and services and refer business to appropriate department.
  30. Assume responsibility for understanding and complying with Per Mar Security Services attendance expectations.
  31. In conjunction with PMC facilities personnel coordinate day-to-day branch facilities requests, projects and vendors.
  32. As this position develops, the employee may be assigned additional duties or special projects as deemed necessary by management.
  33. All other duties as assigned by the Senior Operations Manager, District Operations Manager or Director of Operations.

 
Position Requirements

  1.   3. Address performance and behavior issues in a timely manner. Work with Human Resources when necessary regarding employee relations issues and follow through with appropriate action. Approach each issue fair and consistently in order to reduce Per Mar’s legal risk.

Licenses/Certifications:

  1. Must be able to obtain specified licensure/certifications to perform work in the industry according to the rules and regulations prescribed by the state in which the branch operates.
  2. NICET II certification encouraged.
  3. Must have a valid driver’s license and good driving record.

Education and Experience:

  1. High School Diploma or GED is required. Technical training or degree in related field preferred.
  2. Must have 3-5 year of experience as a lead technician, manager or supervisor in the Electronic Security Industry and solid knowledge of installation, design and repair of Electronic Security Systems.

Knowledge/Skills/Abilities:

  1. Must understand basic low voltage electronic devices and systems.
  2. Must have excellent leadership, communication and written skills.
  3. Strong customer service focus/skills a must.
  4. Must be detail oriented and able to handle multiple tasks.
  5. Must be capable of handling challenging and stressful situations without decreasing productivity.
  6. Ability to deal effectively with people at all levels of the organization and with external customers.
  7. Strong computer and internet skills with demonstrated experience in Microsoft Office Suite including Word and Excel are required; Access experience a plus.
  8. Mathematical Skills including ability to calculate figures and amounts such as interest, proportions, percentages, area, circumference, and volume along with ability to apply concepts of basic algebra and geometry.
  9. Reasoning skills including ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  10. Ability to create and develop policies and procedures.
  11. Knowledge of inventory systems.
  12. Ability to quickly learn in-house software systems.
  13. Knowledge of Central Station operations a plus.
  14. Ability to operate office equipment such as copier and fax machines.
  15. Must possess the values important to Per Mar Security – Integrity, Communication, Excellent Service and Accountability.
