Scope: The Office Assistant provides a wide variety of routine clerical support in support of the department or division's mission. Additional duties may be required.

 
Position Requirements

Job Duties & Responsibilities:

  • Answers phones, takes and delivers messages, greet screen and refers visitors to appropriate personnel.

  • Type’s routine letters and memos, sort and delivers incoming mail and documents including registered and certified.

  • Answer business/customer questions, files, and inputs information into the computer using various software programs.

  • Types, prints, collects, files reports, files records, and files correspondence accurately.

  • Prepares, maintains and processes office records in accordance with department procedures.

  • Completes assignments consisting of numerous steps that vary in nature and sequence by using some subject-matter knowledge and judgment.

  • Solves problems by selecting from alternative methods or by adapting or interpreting substantive guides, manuals, or procedures.

  • Refers problems outside this scope to higher level professionals.

  • Assists in a variety of administrative matters, to include tracking, documenting, correcting, receiving and reviewing requests; composing and typing documents, reports, special manuals, various periodicals, and correspondence; compiling data for analyses; and editing all work for correctness of file content, grammar, spelling, and format.

  • Maintains a wide variety of financial or other records (stored both manually and electronically).

  • Verifies statistical reports for accuracy and completeness, compiles information, and handles and adjusts complaints.

  • Selects appropriate methods from a wide variety of procedures or makes simple adaptations and interpretations a limited number of substantive guides and manuals to perform clerical tasks.

  • Performs clerical tasks by completing clerical steps that often vary in sequence or type, depending upon the task.

  • Responsible for performing a wide variety of clerical tasks to include verifying accuracy of data, collecting data, and collating and reporting data by using multiple resources (i.e. computer, databases, paper files, resource books, and human resources).

  • Refers recognized problems to higher-level professionals.

  • Counts, calculates and verifies quantities of equipment.

  • Assists with inventories, when scheduled.

  • Performs clerical duties, as required.

  • Provides overall support to the office.

Minimum Skills & Qualifications Required:

  • High school diploma or equivalent.

  • Three or more years’ experience in a clerical-related position.

  • Three or more years’ professional experience using computers.

  • Secret Clearance Required

  • Experience with the work related to the contract.

  • Proven professional experience using computers, to include MS Office Suite.

  • Ability to speak, read, and understand English.
  • Keyboarding and analytical skills

  • Ability to follow detailed operating procedures.
  • Ability to work in a team environment.
  • Must have a valid driver license.

  • Must be willing and able to travel to domestic and international locations.

  • Ability to obtain and maintain applicable security clearances in compliance with government regulations and requirements.

  • Ability to solve problems using subject-matter knowledge and judgment.

  • Detail oriented.

  • Keyboarding skills.
  • Analytical skills.

Qualifications Desired:

  • Four or more years’ experience in a clerical-related position related to division.

  • Four or more years’ experience in work related to the contract.

    Special Physical/Work Conditions:

  • May require shift work.
  • May be required to work an uncommon tour of duty including nights, weekends, and holidays under pressure and strenuous conditions.
  • Duties may involve the conduct of work in the out-of-doors area with potential exposure to extreme climatic conditions.
  • During the usual work period, the worker may be exposed to sounds and noise levels that are distracting and uncomfortable.
  • May be required to travel in an aircraft for extended periods of time.
