Payroll Administrator - Full-Time, Salaried

Pine Rest Christian Mental Health Services is seeking an experienced Payroll Administrator to join our Finance team located on our main campus on 68th Street in Grand Rapids.

The payroll professional in this role will perform all activities related to payroll including, but not limited to: maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for management as needed. Pine Rest is also going through an implementation of a new HRIS, and the person hired into this payroll position will have an opportunity to be heavily involved in this implementation and play an important role in it moving forward. This is not your run-of-the-mill "payroll processing" type role that you may find at another organization, this is an opportunity to join experienced Finance and HR teams who are dedicated to improving processes and supporting the always growing Pine Rest organization!

Additional responsibilities include:

  • Responsible for the planning, preparation, and processing of biweekly payroll for nearly 2,000 total employees
  • Review and ensure accuracy of approved timesheet and track and deduct all garnishments and other special payroll deductions.
  • Responsible for the coordination efforts between payroll, human resources, budget and other departments to ensure proper flow and maintenance of employee data.
  • Monitor and approve submissions of approved timesheets; ensure valid data transfers to/from payroll application.
  • Establish/maintain employee records; ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization and adherence to Pine Rest policy including compliance with federal/state/local regulations.
  • Train backup personnel and assure maintenance of payroll competency for backup personnel.
  • Must maintain annual training and demonstrate competency in the required programmatic training.
  • Performs other duties or functions as assigned.

Position Requirements
  • At least 2 full years of corporate Payroll experience is required; 5+ years of payroll experience in a mid to large sized organization is strongly preferred.
  • Bachelor's degree in Business is required; major/minor in Finance, Accounting or closely related subject is preferred. Significant payroll experience of at least 8 years or more may be considered in the absence of a completed bachelor's degree.
  • Computer skills: Much of this role is completed using computers, inputting spreadsheets, tax documents and reports, scanning and saving documents, etc. The selected candidate must be highly proficient in MS Excel and Word, among other programs; advanced or expert skill set(s) are preferred. A desire and ability to quickly adapt to and learn new technology is required.
  • Experience with Kronos HRIS, or similar systems, strongly preferred
  • General math skills

  • Well organized, a self-starter, reliable and strong time management skills
  • Ability to work independently or as a member of a team
  • Strong problem solving skills with basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills
  • Thorough knowledge of applicable payroll systems and procedures, financial chart of accounts and corporate procedures
  • Ability to effectively communicate verbally and in writing
About the Organization Pine Rest is a nonprofit, free standing, behavioral health system founded in 1910 in Grand Rapids, Michigan. This comprehensive behavioral health center, coupled with the Pine Rest network of 18 outpatient clinics and satellite offices in Michigan and Iowa, provide individualized and group therapy for people of all ages and all levels of need. Pine Rest clinicians offer therapeutic services in behavioral health for people of all ages and all levels of need across the continuum of care within a Christian framework.

Pine Rest has a 198-bed inpatient hospital program with a 36-bed child and adolescent inpatient and a large partial hospital program for adolescents. Additionally, Pine Rest has many inpatient services for adults, including: four 22-bed adult inpatient units each designed for a different level of acuity, a 22-bed co-occurring substance use disorder adult inpatient unit, a large adult partial hospital program, and a 26-bed older adult inpatient unit.

The Pine Rest Community and Residential Services Division also provides a wide array of services. With over 220 residential beds across a variety of programs, including treatment for substance use disorders, homes for adults with intellectual and developmental disorders, adults with mental illness, and a program for youth aged 11-18 with extensive trauma histories focusing on trauma treatment and life skills programming.

The Pine Rest Behavioral Health Solutions Division partners with behavioral health and medical organizations to increase access to psychiatry services and to provide a continuum of behavioral health and telepsychiatry services throughout many communities across the State of Michigan.
