GENERAL PURPOSE

The Sr. Specialist, Public Relations provides project management, budget and specialized administrative support to a diverse team of communicators. The Specialist assists in budget management, developing, and implementing a wide range of project support and systems to meet the complex needs of the Public Relations Division, including providing editorial assistance.

ESSENTIAL DUTIES/RESPONSIBILITIES

  • Assists in managing the reporting and management of projects and deliverables for various projects.
  • Track, monitor, and perform financial analysis of all projects, consultant agreements (spends/trends), and expenses for the divisions. Monitor assigned consulting agreements, task orders and invoicing in accordance with the budget. Serve as divisions lead on procurement matters and a/primary liaison to the corporate Procurement division.

  • Manages consultants’ monthly invoicing and provides associated reports, including monitoring and tracking expenditures to budget, in relation to deliverables.
  • Coordinates the development, issuance and/or processing of task orders, purchase orders, and invoices for key consultants and vendors.
  • Manages and updates division’s electronic contact and operational databases to ensure accurate media outlet, prospect, funder, consultant, resource and related listings for business use, invoicing and program activities.
  • Independently research, write, edit and distribute content for reports and correspondence. Perform quality control checks and proofread documents.
  • Researches, coordinates, and responds to requests for information about NeighborWorks America or specific assigned projects from external and internal audiences in a timely fashion.
  • Provides analytical and specialized administrative support for special projects and initiatives.
  • Tracks all commitments, reports deadlines and products/deliverables provided by the division. Researches and analyzes impact/achievements and presents findings, options, and recommendations to Senior Vice President, including problem resolution as required.
  • Monitors projects from inception to completion, follows up with staff to track progress and ensure successful outcomes and work products within established deadlines in coordination with Directors of Operations.
  • Plan and coordinate logistics for internal and external meetings, including scheduling, food and beverage, supplies, audiovisual equipment, overnight accommodations, preparing materials, on-site support, taking accurate notes, and following up with staff to ensure timely completion of commitments.
  • Prepares a variety of materials, including worksheets and tables using Excel and Word.
  • Responds to inquiries and communications from interested parties providing them with programmatic information and/or referring them to the appropriate member of the team for follow up.
  • Assist team members in managing consultants working for the Division, including assisting in the development of requests for proposals, writing scopes of work, tracking of deliverables, and ensuring completion of contractor evaluations.
  • Perform independent research as assigned and present findings, alternatives and recommendations.
  • Other duties as assigned.

  • NeighborWorks America leadership and staff including NeighborWorks America officers and managers, and staff in each NeighborWorks America’s district and the Washington, DC headquarters.
  • NeighborWorks organizations, local residents, national and local journalists from traditional and new media outlets.
  • Funders and peers in community development field.
  • External consultants

 
Position Requirements

TRAINING AND QUALIFICATIONS

Bachelor’s degree or some college combined with equivalent work experience, with a minimum of 3-4 years of highly responsible administrative and/or project management experience preferably in a marketing/communications environment and office administrative support. Experience in any of the following areas is a plus: marketing communications, development communications or public relations; or any combination of relevant training, education and experience which provides the following knowledge, abilities, and skills:

  • Strong interpersonal skills with a demonstrated ability to establish and maintain effective working relationships and successfully interact with people at all management and support levels, within and outside the organization, as well as people of diverse socio-economic backgrounds. Exerts the highest level of professionalism.
  • Excellent organizational skills demonstrated across a range of administrative and editorial processes and procedures, including the ability to independently resolve problems as they arise.
  • Some basic accounting and budgeting skills are desirable.
  • Knowledge of meeting planning practices, procedures and resources.
  • High-level ability to use computers and significant experience with software for presentations, publishing, graphics, the Internet, web design, spreadsheets and word processing applications.
  • Thorough knowledge of modern office administrative practices, procedures and equipment.
  • Advanced proficiency in the use of Microsoft Office software (Word, Excel, PowerPoint). Ability to quickly learn and use specialized software, including web-based systems. Aptitude for technology and ability to trouble-shoot technical problems a plus.
  • Experience with industry related technology/systems a plus (i.e. Adobe, cision, meltwater, etc.)
  • Excellent verbal and written communication skills.
  • Ability to prioritize and manage multiple work activities in a fast paced team environment and consistently meet deadlines.
  • High level of accuracy and attention to detail in finished work.
  • Excellent customer service skills required.
  • Demonstrated project management skills, including planning, monitoring, and completing complex tasks; and monitoring and tracking budgets across various projects.
  • Ability to pro-actively plan work tasks/schedules to meet division timelines. Able to clarify assigned tasks and expectations and then work independently to complete assignments.
  • Ability to travel, including occasional overnight absences from the employee’s place of residence.

  • Travel up to 10% of time.
