Retreat Coordinator - Guest/Owner Services

We are looking for a dedicated and hardworking Front Desk/Guest Relations to join our awesome team!! This position is full-time and year-round and comes with an amazing benefit package! The Front Desk/Guest Relations personnel are essential in ensuring all guests and homeowners have an amazing experience by acting as a primary interface upon arrival and addressing and distributing requests through their stay.

Job Responsibilities:

  • Open and close the office.
  • Answer incoming calls promptly and professionally and take messages and distribute as required.
  • Prepare check-in packets for arrivals.
  • Perform pre-arrival calls and emails for all incoming guests.
  • Ensure all guests and homeowners receive amazing customer service in all aspects of their stay from arrival through their departure.
  • Assist with ensuring all homes, properties, cabins, etc. are ready and correctly setup according to brand standards prior to guest and homeowner arrival.
  • Greet guests, sign for packages, answer general questions from walk-in visitors, guests, homeowners, etc.
  • Maintain professional, positive relationships with guests, homeowners, third-party vendors, onsite staff, etc.
  • Resolve guest and/or homeowner complaint, concerns, etc. to improve the guest experience and escalate any necessary concerns to the respective department head and management.
  • Communicate with housekeeping and maintenance on daily arrivals and guest requests using the work order system.
  • Create work orders and responsible for ensuring proper follow up.
  • Communicate pertinent information via logbook and email.
  • Record all guest and homeowner communications called into the office into NRES and follow up with the person assigned to daily.
  • Assist with opening homes, inspecting homes, and housekeeping as needed to ensure homes are guest ready on an as needed basis.
  • Deliver items during cleans as required and act as the “runner” to ensure all homes are guest ready.
  • Responsible for detailed knowledge of property inventory, location, amenities, etc.
  • General office cleaning and linen room maintenance and monitor supply inventory as needed.

Position Requirements

Skills & Requirements:

  • Requires High School Diploma or Equivalent
  • Minimum of 2-3 years’ experience in hospitality, property management, sales, or retail
  • Computer proficiency
  • Excellent communication skills, over the phone, via email and face to face
  • Excellent organizational skills
  • Manages time effectively, multi-task, and meets deadlines in a fast-paced environment
  • Ability to exercise good judgement
  • Proactive and flexible in approach to job duties and problem solving
  • Ability to lift 25 lbs.
