Description

In support of the Agency Relations Manager/Supervisor, the Agency Relations Specialist (ARS) Lead supports the execution of key aspects of the acquisition, analysis and conversion of property tax data on behalf of LERETA, fostering viable relationships with tax collection agencies and ensuring impeccable service is rendered. The ARS Lead is responsible for facilitating execution of the objectives of the ARS Team as well as ensuring the success of the Team by providing guidance, training, feedback, and support necessary for developing and advancing existing ARS expertise and capabilities to better serve the client.

Operations

  • Leads by example, has excellent work-ethic and is accessible to staff.
  • Models expertise in all Agency relations Specialist Essential Functions.
  • Partners with ARS Manager/Supervisor to develop and execute strategies to complete daily workflow and ensure coverage is adequate for peak cycle times.
  • Effectively plans and organizes the ARS Team's daily operations in coordination with company and department strategies and objectives.
  • Maintains detailed Standard Operating Procedures (SOP) and disseminates updated information to the team.
  • Develops and runs new hire, supplemental and recursive training sessions with guidance from Manager/Supervisor. Ensures that all ARS staff are properly trained and have a clear understanding of LERETA's objectives and their specific duties as an ARS.
  • Coaches, mentors, motivates and provides assistance to the ARS Team with their duties, objectives and development. Motivates employees to achieve peak quality and productivity.
  • Responsible for tracking identified issues and ensuring resolution related to team functions. Researches complex issues including root cause identification, advanced claims research/mitigation initiatives and effectively communicates findings to management.
  • Manages security profile maintenance for the department.
  • Actively participates in special projects as assigned and engages in continuous process improvement initiatives.

Team / Region Success Drivers

  • When requested by ARS Manager/Supervisor, assumes responsibility to measure, monitor and report on one or more team success drivers.
  • Monitors the timely order and processing of production files via the CDA tracking system and related workflow tools.
  • With guidance from Manager/Supervisor, develops quality control standards for use on all systems. And monitors quality control for ARS responsibilities. Acts as liaison to independent quality control partners and performs supplemental quality reviews to assess the accuracy performance of the ARS team.
  • When required, represents the team at interdepartmental meetings and effectively reports back to the team agendas/minutes relating to changes or issues.
  • Supports ARS Manager/Supervisor in the evaluation and documentations of ARS Team and individual performance.

LERETA / Client Relationship

  • Consistently strives to build and maintain relationships with internal/external clients and tax collection entities across the country.
  • Creation and delivery of effective written and oral presentations on behalf of LERETA at meetings and conferences.
  • Maintains knowledge of current and emerging legislation, technologies, issues and approaches in the mortgage servicing industry through membership in trade associations, interaction with industry peers and by attending property tax assessor/collector association conferences.

 
Position Requirements
  • High School Diploma or Equivalent.
  • Minimum 7-years of tax service experience or equivalent business / technical knowledge.
  • Basic Microsoft® Office Access, Excel, Outlook, PowerPoint, SharePoint and Word skills.
  • Familiarity using PC-based operating systems such as: OpenText™ Global 360, PVCS™ Professional Suite (formerly Serena PVCS Pro) or similar workflow or Change Management tool.
  • Direct experience performing all aspects of ARS responsibilities at a high level.
  • Expertise in multiple regions / states and their tax collection processing schedules, regulations and reporting requirements.
  • Advanced knowledge of acquisition and interpretation of data tape files and other information from tax agencies.
  • Ability to review complex issues and analyze data tape files received from tax collection agencies, determine development/production status, create or rewrite data conversion specifications for files received within specified departmental requirements.
  • Experience managing tax operation compliance with agency requirements for the exchange of tax information.
  • Ability to effectively guide and communicate with systems administrators, programmers, business resources, departmental managers and ARS Team.
  • Strong independent decision-making and organizational skills.
  • Some travel, ability to work flexible and overtime hours (when necessary).
