Description

The HR Assistant/Receptionist supports the Human Resources department by providing administrative support, temporary staffing support, and event planning and scheduling. The positions serves as initial contact for incoming telephone calls and visitors, ensures all guests and visitors sign in as required, and performs backup clerical duties as needed.

ADMINISTRATION

  • Updates attestation spreadsheet for payroll
  • Creates employee birthday report for management
  • Places Costco orders as needed
  • Creates and manages sign in sheet for visitors, temps, and contractors
  • Puts together Employee Anniversary information at the end of the month
  • Provides support for Excellence Awards
  • Helps organize employee Holiday/Events
  • Creates and forwards Survey Monkey/Town Halls
  • Maintains and edits the PCS information
  • Sorts/Mails/Distributes checks

Recruiting

  • Takes photos of new hires and loads onto HRIS System and forwards to IT Support for badge
  • Puts together temporary employee packets
  • Verifies temporary employee new hire paperwork is completed
  • Helps update temporary employee spreadsheet

Call Management

  • Answers all incoming telephone calls with courtesy and responsiveness and dispatches those calls to the intended parties promptly and accurately
  • Re-routes all voice mail messages left on main message mailbox during off hours to the intended parties' voicemail systems
  • Remains alert to undelivered phone messages of an urgent nature and bring them to the attention of a supervisor
  • Maintains a professional appearance of reception area at all times - clean, attractive and uncluttered

Miscellaneous

  • Additional duties as required
  • Distribute and collect credit card agreements
 
Position Requirements
  • High School Diploma or equivalent
  • 1 - 3 years of administration/HR/receptionist experience
  • Minimum 1 year of experience in a professional environment
