Retreat Manager - Financial and Accounts Payable Coordinator 


Primary Role:

The Retreat Manager will manage the structure and communication required to maintain efficient, accurate, and timely payment of all invoices as well as entry of these costs. This role supports the General Manager in the day-to-day financial operations of Natural Retreats at Sea Islands, SC. The Retreat Manager will also assist the General Manager with ownership of the retreat to ensure the operation remains within budget and is profitable. Core roles include the overall organization of financial information, billing, invoices, and work orders. The Retreat Manager will assist with management of the retreat, property management, administration, and vendor relations. The Retreat Manager must be able to negotiate with outside vendors for supplies, repairs, and other measures. This person will have to work in coordination with other managers and team members to process this information for the housekeeping and maintenance departments.

  • Oversee the entry of financial information and Accounts Payable practices as well as participate in the reconciliation of this information on a monthly basis.
  • Responsible for meeting financial deadlines monthly, which vary month to month.
  • Reply to inquiries from owners in both email and telephone related to charges on their owner statements in conjunction with the General Manager.
  • Work closely with the General Manger and Vice President of Operations to develop, implement, and maintain procedures relevant to the site to increase profitability, performance, and efficiencies.
  • Assist in P&L reconciliation and monthly P&L reviews.
  • Monitor and be accountable for owners’ invoice postings.
  • Prepare owner statements prior to submission deadline.
  • Accurately maintain and update all vendor files, including W9s and TINS, and all accounts payable files.
  • Complete and assist in submission of credit card expenses according to Natural Retreats’ policies; responsible for credit card reconciliation.
  • Complete and offer feedback on any operational reports and inspections.
  • Conduct investigations and complete reports in the event of accident or injury to guests.
  • Opening/closing offices.
  • Answer incoming calls promptly and professional; take messages and distribute as required.
  • Ensure that all guests receive amazing customer service in all aspects of their stay from arrival through to their departure.
  • Greet guests, sign for packages, answer general questions from walk-in visitors, guests, homeowners, etc.
  • Communicate with housekeeping and maintenance on daily arrivals and guests’ requests using the work order system.
  • Report all guest and owner communications to management.
  • Communicate pertinent information via various systems.
  • Record all guest and owner communications called into office and enter in NRES. Follow up with person assigned to daily.
  • Maintain a clean un-cluttered front desk work area.
  • Communicate with Management on all guest service requests, incidental charges, etc.
  • Log and track the receipt and distribution of all guest packages and shipping of items left after guests’ departures.
  • Perform general office cleaning, linen room maintenance, and monitor supply inventory as needed.

Stock and Property Maintenance

  • Manage where applicable, any stocks of toiletries, cleaning products, etc. efficiently and within budget; Assign appropriate charges to owners as required by applicable deadlines and assist with inventory of these items.
  • Manage the upkeep, maintenance, and inventory of the properties/homes and in conjunction with owners; Replace items where necessary using approved suppliers and equipment.
  • To gain full knowledge and maintain all operational systems and services in rental properties as required including gas, water, sewage, supply, etc.


  • To be a brand ambassador, promoting all Natural Retreats’ locations and services to guests and colleagues alike.
  • Create and carry out local marketing initiatives, where required.
  • Maintain good and clear communication between the site and Home Office.
  • Work in conjunction with the General Manager and Vice President of Operations to maintain existing and develop new relationships with suppliers, strategic partners, and industry professionals


  • Set an example of professionalism by work ethic, appearance, timekeeping, preparedness and every other facet to build trust, confidence and respect from all those who work under their direction.
  • Assist all other team members when necessary in delivering on guest and owner service standards. This may include time in the field and supporting inspections on homes for both guest and owner stays

Position Requirements
  • Proactive and flexible

  • Computer proficiency, specifically with Microsoft Office Suite and Excel
  • Knowledge of basic bookkeeping and procedures, including accounts payable and receivables.
