Description

The Operations Manager - Payments will provide operational oversight of multiple departments and/or locations within LERETA. Tasks will include providing leadership and development for the operational management staff, ensuring the culture and working environment is conducive to optimum employee productivity, implementing changes to boost efficiency and manage revenue and expenses to meet or exceed targeted margin levels.

The specific responsibilities of this position are the oversight of the tax payment operations for multiple customers of varying sizes in an outsourced relationship. The customer base includes mortgage, business personal property, commercial, and wealth management clients. Each type of client has requirements of varying scope and requires that the Operations Manager - Payments maintains hands on knowledge of the appropriate procedures for each. In addition to overseeing tax payment operations this position requires oversight of the tax values and appeals cycles for the wealth management clients who choose this service.

In addition, the position will ensure successful operation of the business function in accordance with the company's principles, strategies and financial goals. Foster a quality environment, by recruiting, selecting, orienting, training employees in the fundamentals of the job and industry. Establish strategic goals by gathering pertinent business, financial, client and operations information; identifying trends and options and choosing a course of action; defining objectives, and evaluating outcomes. Accomplish staff results by communicating job expectations to, and monitoring performance of employees and appraising job results; coaching, counseling, and disciplining employees; developing, coordinating, and enforcing systems, policies, procedures and productivity and quality standards. The duties of this position can at times extend past a 40-hour work week.

Operations Management:

  • Measures the effectiveness of business processes, improvement initiatives and presents findings and recommendations to senior management.
  • Works closely with Sales and Customer Service Teams to align business functions with service/product specifications.
  • Manages and ensures compliance measurements are followed within departments.
  • Effectively plans, organize and track the performance of the department's operations to promote a unity of purpose and provide for successful achievement of LERETA LLC objectives in accordance with its strategies and objectives.
  • Ensures team is meeting department operational metric goals which includes but is not limited to productivity and quality, as well as meeting customer service level agreements.
  • Manages a continuous improvement program within department to meet quality benchmarks, cost reduction goals, and on-time delivery and production performance goals.
  • Pro-actively coordinates the department's activities with other departments to provide support for their operational goals.

Team Support:

  • Ensures that the department personnel are provided with appropriate job structure and procedural training, a thorough understanding of performance expectations and timely and constructive feedback.
  • Ensure that preparation of Performance Assessments and delivery is done in accordance of those outlined by HR.
  • Anticipate and respond to departmental staffing needs to ensure timely recruitment of tax professionals.
  • Cultivate a departmental culture that attracts and retains top talent
  • Department escalation point of contact for coordination of department activities needed by internal customers.
  • Managing employee performance by aligning individual objectives for the effective delivery of strategic and operational goals.

Management Reporting:

  • Confers with and provides assistance to other LERETA executives and senior managers so that all company goals are met in accordance with its strategic business plan.
  • Assertively communicates status of assignments and any opportunities for improving the department's performance to the Operations Leadership Team.
  • Reports to Management the Operational numbers for the department.
  • Creates both annual department budgets, reforecasts and flux analyses in accordance with accounting requirements and ensure departments fall within those financial numbers.
 
Position Requirements
  • High school diploma or equivalent.
  • 3-5 years of experience in business management and planning.
  • 3-5 years of experience in coaching/mentoring, data analysis, problem solving, performance measurement and sustainability.
  • 3-5 years of experience in tax data research and in managing complex tax situations.
  • Proficiency in the use of Microsoft Word and Excel.
  • Experience in promoting customer service and teamwork oriented environment.
