Dispatch Assistant Coordinator HHG 


SUMMARY: Consults with coordinators, sales representatives, branch or division dispatchers, Atlas dispatch and registration, agent dispatch, customers and drivers to plan and assign shipments for delivery in/out and storage; documenting hourly personnel payroll, including drivers, helpers, packers and warehousepersons, to moving and storage duties. EXCELLENT COMPUTER SKILLS AND ATTENTION TO DETAIL REQUIRED.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

  1. Talks with internal and external customers, via phone, e-mail and fax;
  2. Receives orders via computer from Paxton coordinators by established procedures;
  3. Reviews the data input of coordinators for accuracy and coordination of labor;
  4. Assists in the distribution of the workload of the personnel including drivers, packers, helpers and warehouse personnel;
  5. Utilizes computer software for planning local operations;
  6. Assists the Operations Manager in maintaining schedules for all division moving services;
  7. Coordinates the input of timecard data for hourly employees and insures it’s submission to the payroll department as required;
  8. Assists the PVO concierge in coordinating casual labor provided to contractors on an as needed basis;
  9. Performs the function of a Certified Weigh Master, as needed;
  10. Assists in assigning/authorizing delivery/pick up windows on all locally assigned shipments;
  11. Tracks and advises estimated times of arrival to customers/coordinators, as needed;
  12. Coordinates inbound/outbound storage activity with the Warehousing Manager;
  13. Assumes the role of trainer for some in-house courses;
  14. Position may require occasional outside on-the-job duties;
  15. Aids in resolving work related problems, as they arise, whether regarding customer complaints of dissatisfaction or employee’s interactions with regard to job performance;
  16. May be required to perform all duties assigned to coordinators, as needed;
  17. Assists Operations Manager in addressing complaints concerning billing or services rendered, referring complaints of service failures to designated department managers for investigation.
  18. Other duties may be assigned.

EDUCATION and/or EXPERIENCE: Bachelor's degree (B. A.) from four-year College or university; or 2+ years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS: Must have the ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations; ability to write reports, business correspondence, and procedure manuals; ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS: Must have the ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume; ability to apply concepts of basic algebra and geometry.

REASONING ABILITY: Must have the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS: Must have Weigh Master Certificate; must have a valid state issued driver’s license.

For most of the work day the environment is relatively moderately paced with minimum noise or disruption.
