SUMMARY: Supports and partners with the Group Sales Manager, to generate new business, develop existing clients (corporate and private), achieve departmental revenue goals, marketing events in external markets, increase zoo awareness within the community, and support the zoo as a tourist destination by carrying out a variety of responsibilities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Responsible for planning all aspects of the birthday party program; client logistics, planning and executing birthday events and reaching the programs revenue goals.
  • Provides direct on-site support for all production elements of the zoo’s private and public events including; concerts, group sales, tours, dinners, activities, etc.
  • Coordinate in scheduling event planning needs with various zoo departments, outside vendors, and outside organizations or companies.
  • Cross-train and orient with the Sales department learning client implementation process, and planning elements.
  • Assist with responding to all Group Sales phone, web and booking inquiries within 24 hours. Mail contracts and invoices, and follow-up with clients within timeframes stated in Group Sales policies.
  • Communicate with all zoo departments impacted by a Group Sales event: Events team, Catering, Admissions, A/V, Visitors Assistance, Education, Animal Management, Maintenance, Security, etc.
  • Serve as a Sales department liaison for group sales clients as necessary to the seasonal calendar.
  • Design, Update and maintain current sales collateral materials: sales information, packets, contracts, and invoices, etc., as directed by the Group Sales Manager.
  • Tracks event status and performs a variety of detail-oriented tasks to ensure event preparedness, including conducting weekly communication meetings with the Grounds/Maintenance Team leaders.
  • Meet event deadlines, projects and targets to keep to an event schedule; participate in problem solving event related issues.
  • Responsible for the selling, and production coordination of, including but not limited to; admission tickets, exhibit tickets, zoo animal experiences, tours, Scavenger Hunt, ZooStore merchandise (partner with ZooStore), face painting and temporary tattoos, etc.
  • Provides high quality customer service to guests and internal customers.
  • Update resources and event data in the Ungerboeck Event Management software or an equivalent software system.
  • Reconcile all accounts payables and account receivables
  • Coordinates all production aspects of sales events: creation, logistics, communication, planning and implementing, including but not limited to: reserving venue space; distributing event details; creating client event proposals; provide physical implementation and providing zoo event “day- of” coordination.
  • Interacts with staff, volunteers, sponsors and vendors in a professional and ethical manner.
  • Perform other duties as assigned.

EDUCATION/EXPERIENCE

Two-year Associate's degree (A. A.) or equivalent from an accredited college or university; and one to two years of experience; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to communicate clearly and completely both verbally and in writing.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS

Valid US driver’s license preferred.

Must be able to comfortably maneuver on zoo grounds at night and/or without much light.

While performing the duties of this job, the employee is occasionally exposed to wet and/or humid conditions and outside weather conditions. The noise level in the work environment is usually moderate. The noise level can be loud to very loud during concerts and jungle parties. While working with catering, the employee may spend time in a kitchen. This position necessarily requires weekend and evening work.
