Summary:

The Academy Museum of Motion Pictures will be the world's premier institution dedicated to the art and science of movies. Located at Wilshire and Fairfax in Los Angeles, the Museum will be simultaneously immersive, experimental, educational, and entertaining. More than a museum, this dynamic film center will offer unparalleled experiences and insights into movies and moviemaking.

The Administrative Assistant will be a key member of the Academy Museum's Advancement department and will be responsible for providing administrative support to the program and its Directors. You must be well-organized, a collaborative team member, and have excellent communication skills. Reporting to the Director of Individual Giving, your primary responsibilities will include managing department phones and general email inquiries, scheduling, as well as assisting with files and special projects as needed.

Responsibilities:

  • Supports Advancement and the Director of Individual Giving with scheduling, managing department phones and general email, and other administrative duties to ensure and maintain efficiency of files, organization, and processes.
  • Manages all office functions, including greeting guests, reception support, tour preparation, tours, tour clean up, sorting mail, replying to general phone/mail/email requests, processing invoices and expense reimbursements, and maintaining organized financial records.
  • Assists with department mailings, donor events, filing, drafting correspondence, and working with other assistants and coordinators to provide administrative and organizational support to the overall department.
  • Prepares, proofreads, and edits a variety of documents for accuracy, proper formatting, and grammar to ensure excellent output.
  • Other duties as assigned.
 
Position Requirements
  • Bachelor's degree preferred.
  • Experience in an administrative role supporting one or more department heads.
  • Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint).
  • Excellent written and verbal communication skills with the ability to work cooperatively with staff.
  • Strong organizational and time management skills with the ability to multitask and prioritize to meet deadlines in a fast-paced, high-pressure work environment while maintaining a positive attitude.
  • Ability to take direction, work independently, and ask questions when needed.
  • A high level of maturity and discretion in handling confidential information.
  • Availability to work some nights and weekends as needed, at times on short notice.
