Summary:

The Academy Museum of Motion Pictures will be the world's premier institution dedicated to the art and science of movies. Located on Wilshire and Fairfax in Los Angeles, the Museum will be simultaneously immersive, experimental, educational, and entertaining. More than a museum, this dynamic film center will offer unparalleled experiences and insights into movies and moviemaking.

The Exhibition Planning Coordinator is responsible for general assistance with project management of the Academy Museum's exhibitions, including tour solicitation, schedules (exhibition, production, and installation), assistance with material sourcing, and support for exhibition and installation needs during the lead up to the Museum opening. This position reports to the Director of Exhibition Planning and Coordination.

This is a full-time staff position through June 2020.

Responsibilities:

  • Work with Director of Exhibition Planning and Coordination on the implementation of the Museum's planning process for all exhibitions, including developing and updating schedules, timelines, and next step lists for each of the galleries, monitoring deadlines and delivery dates.
  • Communicate with all stakeholders in a timely and effective manner, documenting progress of all exhibition phases included in exhibition timelines for design, object and media checklists, media production, fabrication and installation. Regularly update the Director of Exhibition Planning and Coordination on exhibition progress.
  • Oversee the Tour Solicitation process, including working with curators to develop tour proposals, drafting solicitation cover letters and other materials. Also, tracking solicitation outreach and responses, working with Exhibition Production & Design and Collection Management departments to develop tour schedules and budgets.
  • Assist with exhibition-related needs including, but not limited to, material sourcing for images and films included as graphic elements or projections in the exhibitions, research, and exhibition planning, design, production, and installation.
  • Schedule meetings as needed, including preparing materials, reserving meeting space and needed equipment, confirming all arrangements, and taking and circulating meeting notes.
  • Create and maintain files for exhibition-related documents, including narrative descriptions, design intentions, floor plans, elements matrix, equipment lists, installation and conservation requirements. Update Exhibition Planning folder/binder as appropriate.
  • Perform other related duties as assigned.
 
Position Requirements
  • BA degree in film, art history, museum studies, or related field preferred.
  • A minimum of 2 to 3 years of experience providing administrative and project management support for exhibition planning.
  • Knowledge of museum practices.
  • Proficiency in MS Office including Outlook, Word, Excel, PowerPoint, Adobe Acrobat, and Adobe Photoshop. Familiarity with Smartsheet preferred.
  • Ability to work independently without close supervision, communicating problems clearly to supervisor as needed.
  • Must be a team player with the ability to establish and maintain effective working relationships.
  • Ability to multi-task in a fast-paced, high-volume work environment while maintaining a high level of organization and attention to detail.
  • Excellent verbal and written communications skills with critical thinking skills to address complex issues.
