SUMMARY

Under the supervision of the Document Management Supervisor(s), the Document Imaging Lead is responsible for the day-to-day monitoring of personnel and production specific to an assigned contract or body of contracts. This position ensures compliance with all organization policies and procedures, contractual requirements, quality of services, and customer satisfaction.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Monitors contract activity, production, and timeline adherence.
  2. Prepare reports, logs, and schedules.
  3. Relays management’s directives to staff and clients to maximize productivity, efficiency, and compliance.
  4. Leads daily and or weekly team huddles specific to assigned contract area.
  5. Assists with orientation and training for all Document Management staff and clients in assigned contract area.
  6. Participates in the development and implementation of new and revised department policies and procedures.
  7. Ensures vocational training of staff to support clients' individual support plans and/or vocational goals.
  8. Ensures that time study standards are followed for all applicable work performed and are reviewed annually; ensures changes to scope, material, method, or environment that can impact standards are escalated; standards are reviewed and revised as needed.
  9. Ensures that an accurate method of work measurement is in place for all contract work and that piece rate work is reported accurately and on time to ensure correct and timely pay for work completed; ensures compliance to all applicable Department of Labor regulations.
  10. Assists with the implementation of new contracts.
  11. Operate truck or van to make deliveries or pick-ups when Warehouse Specialist is absent.
  12. Assists Warehouse Specialist with product chain of custody tasks and receiving.
  13. Responsible for developing and maintaining good working relationships with contract representative(s) to ensure customer satisfaction and contract retention. Develops and maintains effective verbal and written communications with customers and stake holders.
  14. Ensures the Document Management department operates in an efficient and cost effective manner.
  15. Ensures department compliance with all Federal and State regulations, company and division policies and procedures, health and safety rules and regulations.
  16. Performs other duties as assigned.
 
Position Requirements

SUPERVISORY RESPONSIBILITIES

Assists with the supervision of Document Management Direct Labor, Direct Care, Support Staff, Client-Employees, and Clients Served in assigned contract area.

SKILLS REQUIRED

  • Ability to communicate effectively with staff, both verbal and written.
  • Must possess social perceptiveness to assess and understand an individual’s reactions and behaviors.
  • Provide professional customer service.
  • Ability to operate a computer and basic software knowledge.
  • Ability to work in a typical office environment.
  • Ability to tolerate stress.
  • Ability to conduct tasks and successfully perform under critical deadlines.

EDUCATION AND EXPERIENCE

  • Required: High School Diploma or equivalent.
  • Required: Current Driver License and a clean driving history.
  • Preferred: 1 – 3 years in an administrative environment or related field.
  • Preferred: Prior experience as a lead or supervising staff.
  • Preferred: Experience working with individuals with disabilities.
