Description

Position Summary:

The Benefits and Compliance Coordinator acts as the agency and employee liaison for all agency provided benefits. Additionally, this position ensures proper administration of all agency employment compliance, workman's compensation, HRIS management, and administrative reporting.


Position Duties & Responsibilities:

In a manner consistent with supporting The Arc NCR Mission Statement the Benefits and Compliance Coordinator shall do the following:

Quality Support
• Submits monthly reporting to Director of HR, which include but not limited to, training completion, workman's comp incidents, and performance evaluation compliance.
• Assists the Human Resources team with the following tasks as needed:
o Recruiting
o Orientation and on-boarding of new employees
o Cross-train and assist with the processing of payroll
o Data entry of new hires into the HRIS system
o Processing E-verify checks, background checks, and drug tests
o Additional trainings and HR incentives

Engaged Team Members
• Oversees the administration of employee benefit programs such as: Health; Dental; Vision; Disability Insurance; Life Insurance; Employee Assistance Program, voluntary products; 403b, open enrollment, Personal Time Off (Vacation, Sick, and Personal Time) and other plans and incentives.
• Assists HR Director in creating compensation policies, guidelines, and procedures, - recommending plan revisions as well as new plans which are cost effective and consistent with compensation trends and Enterprise objectives.
• Coordinates the transfer of data for new enrollments and terminations to external vendors, benefits brokers, plan providers, auditors and consultants, acting as the primary contact/liaison with all for escalated concerns.
• Managers and tracks the performance review process for the agency.
• Partners with the Talent Acquisitions Manager to ensure all job descriptions are up to date, complete with the appropriate FLSA and ADA classifications.
• Works the agency's insurance provider with follow up and management of all Worker's Compensation Claims, including contacting the employee throughout the associated leave,- evaluating the need for accommodations, tracking return-to-work dates, and all other responses related requests/concerns.
• Assists the HR Director by completing all training around Benefits and Compensation, specifically FLSA standards, with all agency leadership and employees as necessary.
• Partners with Payroll Coordinator to ensure all benefit payroll deductions are imputed correctly into HRIS system and annual audit are being competed to track accuracy
• Responsible for creating and updating all custom fields, locations, departments, and jobs in the HRIS system.

Financial Excellence
• Researches, selects, and comprises the annual benefit offering, inclusive of the forecasted budget and prior year's actuals.
• Frequently analyzes trends and data to ensure competitiveness.
• Reconciles benefits related invoices and ensures corrects are made accurately.
• Works with Employee Assistance Program vendor to provide regular/on-going training and communication of products, services and other ad hoc needs.
• Performs biannual training and communication around benefits and other agency incentives.
• Ensures all agency locations have the required labor law postings and other compliance documentation present and visible.
• Performs regular compliance audits and communicates any issues to the HR Director and senior leadership of the applicable division.
• Submits annual EEO-1 report with the EEOC within required timeframe.
• Submits annual required VETS 100 Report within required timeline.
• Maintains the agency's OSHA 301 log and prepares and distributes the OSHA 300 and 300A logs.
• Monitors and performs quarterly I-9 audits.
• Maintains all employee information within the HRIS system and performs audits as necessary for accuracy.
• Processes all employment verification forms.
• Assists in filing any paperwork submitted to the department as necessary.
