Description

SUMMARY

The Gwynedd Mercy University Admissions Office Coordinator's primary responsibility is to ensure prospective students and families have an excellent admissions experience. Reporting to the Director of Undergraduate Admissions, the Admissions Office Coordinator coordinates the collection and dissemination of admissions data including processing prospective student inquiries, coding daily visits, managing applicant files, overseeing work study students, greeting and assisting visitors and callers, ensuring the Admissions is a well-maintained and welcoming space for visitors.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Greets visitors, ascertains their needs, and directs them to the appropriate staff member or department on campus

Answers the telephone and provides information to callers or routes calls to the appropriate office in a friendly and customer-focused manner. Conducts telephone follow up with prospective students to answer routine inquiries and confirm visit details. On a limited basis, this position is responsible for providing information to undergraduate students regarding admission and degree completion requirements.

Inputs application and inquiry data to Enrollment Management database. Codes campus visits in Customer Relationship Management system (CRM).

Responds to departmental email, forwarding emails to the appropriate office, where appropriate.

Schedules and confirms appointments and registrations for visits and events.

Ensures that visit spaces are maintained, stocks hospitality bar, and produces welcome signs for visitors. Advises when hospitality items are running low.

Organizes and tracks new applications, checking for transcripts, SAT scores, and other necessary documents.

Sends out completed Transfer Evaluations.

Files correspondence, transcripts, and other records.

Makes copies of correspondence and other printed material.

Assists other staff members in producing letters to potential students using MS Word Mail Merge and Admissions database, when needed.

Maintains inventory of admissions fulfillment materials and assists in the coordination of direct mailing operations.

Routes incoming and outgoing mail, faxes and electronic mail for the Office of Admissions.

Participates in on-campus programs as needed

Supervisory Responsibilities

Supervises Work Study students, responsibilities include:

  • Provides training to all work study students every semester
  • Creates and updates training manual
  • Manages work study students and creates an atmosphere of responsibility and accountability
  • Creates work study schedule
  • Approves time in payroll system

Education/Experience

Associate degree or equivalent from two-year college / technical school, or equivalent combination of education and experience.

Technical Skills

Ability to use a computer to enter and retrieve data; familiarity with word processing, spreadsheet and database management; knowledge of Salesforce CRM a plus, but not required..

Language Skills

Ability to read and interpret documents such as procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of students or employees of organization. Fluency in Spanish preferred but not required.

Mathematical Skills

Ability to calculate figures and amounts such as discounts, and percentages.

Interpersonal Skills

Ability to interact effectively and professionally with others.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
