Assistant Group Event Coordinator

  • Support the Group Event Coordinator as needed
  • Conduct site tours, always presenting the event spaces in the most favorable light possible
  • Respond to event reservation inquiries, including inbound and outbound phone calls, emails, and drop ins
  • Input of reservations, event contracts, payments, and communication notes
  • Daily maintenance of event inquiry database
  • Assist Coordinators with running events, which includes providing staff with clear objectives, directions, and support, and maintaining communication with client and all departments to ensure time line and expectations are met
  • Address guest needs and concerns professionally and positively
  • Support all staff as needed during event set up, execution, and break down
  • Ensure all events align with health and safety regulations and crowd management
  • Notify management immediately any time a guest is not 100% satisfied with their experience
  • Crosstrain in wedding events and support the Wedding Event Coordinator and Assistant as needed
  • Cover the reservations booth as needed, especially during the off season
  • Be a willing member of the Basecamp Hospitality, dba Silver Falls Recreation Company, performing all duties and functions as assigned and to the best of his/her ability


The Assistant Event Coordinator will use various office tools and equipment on a daily basis. No open toe sandals or flip flops will be allowed on the job. The Assistant Event Coordinator will be knowledgeable in the safety practices and standards set by the Company, relative to the work environment he/she operates in. He/she will also make it a duty to assure that all coworkers are working with those same safety practices and standards.

Position Requirements


  • Passionate about making sure guests have a positive experience
  • Strong interest and/or some experience planning, organizing, and/or coordinating events
  • Computer proficient with experience using Excel, Word, PowerPoint and Outlook. Experience with reservations or event/catering software (such as RMS and Caterease) helpful
  • Ability to maintain a polished professional approach to all guest interactions, whether in person, via phone, or by email
  • Ability to communicate clearly and effectively, with willingness to ask for assistance when needed
  • Possess excellent organizational skills and a keen eye for details
  • Ability to work with a broad range of individuals and organizations to identify/assess guest needs and interests, adjusting approach to suit audience
  • Ability to shift focus with changing priorities
  • Ability to work in a fast-paced setting while remaining calm under pressure
  • Ability to give/receive clear positive direction and work in a team environment
  • Willing and able to work varying shifts, including weekends, evenings and holidays
  • Ability to work 38+ hours per week though most of the year with flexibility to drop to 24+ hours per week November-February as needed
  • Possess a valid driver’s license with a clean 3-year history and no DUI convictions in the past 10 years
  • Reliable transportation
  • Food Handlers and OLCC permits required within 45 days of hire

Compensation $14.00 per hour, plus monthly service fee payout & gratuities
