Description

The Delivery Project Coordinator position manages and leads the coordination of small scale activities of an internal team and vendor partners to provide complete support to the client for all project requests. A successful candidate has an ability to communicate clearly with all parties involved in a project, including key stakeholders, internal customers, team members and vendor partners and lead a project team around a common set of goals. This role requires the ability to demonstrate exceptional customer service, teamwork, and attention to detail in order to insure client satisfaction. Must be able to deal with conflicts while maintaining professionalism and focus on the project goals. This role reports directly to the Project Manager. This role is on our Accounts team which is dedicated to one of our larger Seattle based clients. All projects are within the client's North America real estate portfolio.

Team Summary: The Move team focuses on team building moves within our client's real estate portfolio located in Seattle, WA. Projects will occur around the Seattle area. Team members must be available evenings and weekends as needed for successful management of projects.

 
Position Requirements

Key Responsibilities:

  • Delivery of small scale projects
  • Support tasks including but not limited to, furniture audits, pre-post project walk-throughs, and program and project tracking from inception through the close-out process
  • Support team members on projects
  • Responsible for uploading documents and performing internal audit functions to ensure all required documents and data are uploaded to the client shared system during course of project and prior to closing out project
  • Provide tracking information on delivery status, communicate exceptions
  • Interact with strategic planning and vendor partners to confirm use of spaces and submit documentation or forms needed once space is vetted
  • Work independently on small service and limited scope activities
  • Supports the procurement and purchase order processes including but not limited to the administrative functions of entering proposals and orders for approval as required by the PMs
  • Set up new vendor documentation
  • Review and verify vendor order acknowledgements, shipping documents, and vendor invoices. Respond to vendor partners in cases of exceptions or errors
  • Flexibility to travel as needed for individual projects within North America
  • May be required to work occasionally on weekends or evenings dependent on move schedules
  • Other duties as assigned

Experience/Training/Education/Certification:

  • Associate’s degree from accredited college preferred
  • Minimum of two years of related experience and/or training in project support and/or coordination
  • Proficiency with MS Office Suite, MS Visio
  • Roles requires daily communication with client and team members. Must be able to exchange accurate information in these situations
  • Must be able to inspect design plans and documents for accuracy

Physical Requirements:

  • Must be able to move within and between client buildings up to or more than 50% of the day
  • Must be able to safely access construction sites
  • The person in this role needs to be able to occasionally lift up to 25 pounds
