Purpose of Division:

Maintain relationships with Federal Funding agencies including the Office of Management and Budget and the U.S. Congress. Track public policy issues be it administrative, regulatory or legislative actions providing updates on key issues to NeighborWorks America advisors/departments are required. Liaison with external policy groups or related housing and community development issues.

Executive Office: Lead organizational change process to build on past accomplishments and further the mission of the organization. Develop a structure that supports the efficient delivery of programs and services, accomplishes major goals identified in the strategic plan and creates an effective management team.

Position Summary:

This highly responsible and varied administrative support position assisting in the work of the SVP of the Office of Public Policy and Legislative Affairs, and professional staff within the Office of Public Policy and Legislative Affairs and the Executive Office. The SVP of Office of Public Policy and Legislative Affairs also serves as the Freedom of Information Liaison for the Corporation. This position requires considerable initiative, independent judgement, discretion and a very high level of confidentiality and discretion.

Essential Responsibilities PPLA:

  • Provides administrative assistance to SVP of PPLA and professional staff within office.
  • Prioritizes and maintains calendar management for SVP; preparing for meetings; making travel arrangements as needed, making independent decisions regarding prioritizing of scheduling and rescheduling, logistics, agendas and registration for and other activities such as NTI's, Executive Symposium and training courses.
  • Coordinates with Field Division and division staff to announce grants to the US Congress. Coordinates with CEO offices to facilitate responses to Congressional inquiries.
  • Assists the Division's Manager of Budgets and Procurement with duties related to Central Purchaser within NetSuite for PPLA, creating P.O. request and upload invoice or receipts so vendors can be paid, and contacting new vendors to request completion of required documents (W9, ACH form, voided check or bank letter) and assisting professional staff in finding appropriate subscriptions etc.
  • Provides office management for PPLA, including coordinating with Manager of Budgets and Procurement the responsibility for ordering and general maintenance of supplies and equipment; filing, processing request for memberships, subscriptions and publications.
  • Serves as Content Coordinator for Inside NeighborWorks and the Member site with responsibilities of maintaining and updating PPLA's information and uploading congressional and legislative documents.
  • Processes SVP's expenses and other staff as needed. Assists the Division's Manager of Budgets and Procurement with duties related to divisional purchase card.
  • Assist professional staff in the delivery of statutorily required reports such as Budget Submissions, Budget Justifications, Annual Performance Review and Operating Plans to OMB, GAO, House of Representatives and Senate members.
  • Serves as needed as division liaison to IT or other divisions for collaborative decision-making.
  • Coordinates divisional policy meetings and performs events and meeting planning as needed including the operations and travel related to the Gramlich Fellowship program.
  • Assists the SVP and professional staff within the division on a wide range of special projects as assigned.

Essential Responsibilities Executive Office:

  • Provides administrative support to the Office of the CEO to include handling of paperwork (i.e., printing of daily calendars, meeting agendas, meeting materials, travel packets, etc.).
  • Handle Time & Expense reporting and travel arrangements for CEO & COO.
  • Manage all items requiring CEO or COO signatures (review for accuracy, log in/out of tracking system, secure Office signatures).
  • Handle CEO & COO meeting room prep (Zoom setup, F&B setup, guest lists), order office supplies, manage INW pages for OCEO and OCOO and provide assistance with Board materials.
  • Special projects as assigned by the Senior Manager, Executive Office Operations

Nature of Work Contacts:

NeighborWorks staff, field operations and managers of other divisions to coordinate activities, exchange information for reports and provide directives on behalf of the SVP. Staff of NeighborWorks Organizations, Congressional staffers, staff of federal agencies and vendors.


Fiscal Responsibilities:

Processing expenses. Coordinating with Division's Budget and Procurement manager.

 
Position Requirements

Required Minimum Qualifications:
(a) Education: Will consider relevant professional experience in lieu of a degree
(b) Experience: A minimum of seven (7) years relevant experience supporting C-Suite or Law Firm personnel

(c) Licenses, Certifications: None specified
(d) Competencies, Knowledge, Skills & Abilities:

Adept in Microsoft Office Suite. Strong organizational skills. Excellent interpersonal communications. Presentation building and delivery skills. Ability to use SharePoint; Adaptability/Flexibility.

Preferred Qualifications:

Collaborative, team-oriented, able to take the initiative. Confidentiality and discretion at high level are required with an experience and understanding of the needs/requirements of the C-Suite. Adept with Microsoft Office products such as Outlook, Excel and Word.
