POSITION SUMMARY: BASIC FUNCTION
Ensures accurate processing and recording of Company's payroll by collecting, calculating, and entering data from various sources. Updates and maintains payroll data by reviewing timesheets, Vacation and Sick Leave requests, as well as new hire and employee change documents. Serves as the subject-matter expert and takes ownership of the payroll process design and operations.
ESSENTIAL DUTIES & RESPONSIBILITIES
Processes day-to-day payroll transactions and serves as the subject-matter expert for payroll operations.
Reviews all payroll changes initiated by HR against supporting documentation for accuracy and proper authorization before accepting changes in the Payroll system.
Leads payroll process improvements and process changes by researching, implementing, auditing, and documenting payroll matters.
Performs a self-review/audit of bi-weekly payroll before submitting for management review.
Manages payroll cycle to ensure all payroll transactions are processed accurately and reviewed by management timely.
Performs a bi-weekly payroll fluctuation analysis to identify unexpected trends and to confirm accuracy.
Reconciles bi-weekly payroll prior to transmission and validates confirmed reports.
Identifies and participates in payroll related training that is applicable to the Company.
Reviews payroll records against training materials for compliance and accurate processing.
Reviews, analyzes, and implements changes in multi-state taxation and labor laws.
Manages timekeeping system including new employee and supervisor setups and employee status changes.
Enters new garnishments into payroll system and ensures automatic payments are accurate.
Executes time clock and attendance processing and interfaces with payroll system.
Reviews timesheet data for accuracy and works with managers to resolve discrepancies.
Ensures compliance with Federal and State regulations.
Periodically audits timesheets and payroll system including configuration to ensure compliance with labor laws and company policies.
Handles new state tax registrations and ongoing compliance.
Participates in annual worker's compensation and 401(k) audits providing all applicable documentation required.
Performs compliance procedures for unclaimed payroll checks.
Prepares and communicates recurring and ad hoc payroll reporting to HR and management.
Reviews General Ledger setup of earning and deduction codes for proper mapping.
Processes accurate and timely monthly, quarterly, and year-end reporting and ensures the accuracy of W-2s.
Prepares and provides training material for supervisors and employees on timekeeping system.
Serves as the main point-of-contact for payroll related system enhancements and implementations.
Serves as the main point-of-contact to employees for payroll related inquiries.
Perform other duties as assigned.
KNOWLEDGE, SKILLS & ABILITIES
Working knowledge of GAAP, general ledger and payroll
Working knowledge of federal and state wage and hour laws
Strong knowledge of general payroll practices, IRS and State regulations and 1099 regulations
Knowledge of multi state pay related practices specifically (and local ordinances)
Working knowledge of payroll best practices
Excellent customer service skills
Strong interpersonal (verbal and written) communication skills
Proficient with MS Office Suite and advance Excel skills required
Must be proficient working with larger payroll systems that integrate or interface with other systems
Demonstrate ability to organize and manage documents.
Ability to work efficiently and productively in a multi-task environment independently with minimal supervision.
Ability to identify and analyze problems using sound judgment and determine solutions.
Demonstrated ability to effectively work with all levels within the company, including executive management.
Ability to deal sensitively with confidential material confidentiality
Ability to make payroll related decisions
Respect for confidentiality of payroll matters
EDUCATION & EXPERIENCE
AA or higher degree preferred
5 + years of experience in payroll department with HR to PR system integrations.
5 + years of experience processing multi-state payroll
PHYSICAL REQUIREMENTS
Requires ability to lift and carry objects weighing up to 20 pounds.
Primarily sitting with some walking, standing, and bending.
Able to hear and speak into a telephone.
Close visual work on a computer terminal.
Dexterity of hands and fingers to operate any required computer keyboard, mouse, and other technical instruments.
WORK CONDITIONS
Work on site - no telecommuting
Standard office; extensive daily usage of workstation or computer.
