Under the supervision of the Document Management Assistant Director, the Document Management Supervisor is responsible for the day-to-day supervision of the Document Management personnel and monitoring of production. This position ensures compliance with all organization policies and procedures, contractual requirements, quality of services, and customer satisfaction.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Manages, supervises, and directs staff and clients to maximize productivity, efficiency, and compliance.
  2. Assists with recruitment, orientation, and development for all Document Management staff and clients.
  3. Ensures all staff training programs, performance reviews, and time studies are completed in a timely manner.
  4. Participates in the development and implementation of new and revised department policies and procedures.
  5. Ensures vocational training of staff to support clients' individual support plans and/or vocational goals.
  6. Encourages and assists with successful placement in employment venues as desired by clients served.
  7. Ensures that time study standards are established for all applicable work performed and are reviewed annually; ensures changes to scope, material, method, or environment that can impact standards are escalated; standards are reviewed and revised as needed.
  8. Ensures that an accurate method of work measurement is in place for all contract work and that piece rate work is reported accurately and on time to ensure correct and timely pay for work completed; ensures compliance to all applicable Department of Labor regulations.
  9. Responsible for the implementation of new contracts.
  10. Manages, supervises, and directs contract production.
  11. Responsible for developing and maintaining good working relationships with contract representative(s) to ensure customer satisfaction and contract retention. Develops and maintains effective verbal and written communications with all customers and stake holders.
  12. Ensures the Document Management department operates in an efficient and cost effective manner.
  13. Participates in the development and monitoring of department annual operating budget.
  14. Ensures department compliance with all Federal and State regulations, company and division policies and procedures, health and safety rules and regulations.
  15. Performs other duties as assigned.

Position Requirements

SKILLS REQUIRED

  • Ability to communicate effectively with staff, both verbal and written.
  • Professional customer service through both written and oral communication.
  • Must possess social perceptiveness to assess and understand an individual’s reactions and behaviors.
  • Ability to operate a computer and basic software knowledge.
  • Ability to work in a typical office environment.
  • Ability to tolerate stress.
  • Ability to conduct tasks and successfully perform under critical deadlines.

EDUCATION AND EXPERIENCE

  • Required: High School Diploma or equivalent.
  • Required: 3 – 5 years in an administrative environment or related field.
  • Required: Prior experience managing or supervising staff.

LANGUAGE SKILLS

Ability to read, write, and speak English. Ability to read, analyze, and interpret written instructions and contract specifications. Ability to respond to common inquiries and complaints from individual workers with disabilities, contractors, representatives, and other staff. Ability to effectively present information to fellow staff, workers with disabilities, and others.
