Job Title: Residential - House Manager

Classification: Exempt

Definition and Basic Function: The Residential House Manager is responsible for overseeing the management and supervision of all aspects of the residential home in keeping with the overall mission and vision of Jessica and Friends Community.

Accountability: Director of Residential Programs

Responsibilities:

Programming

  1. Prepare for and attend ISP meetings
  2. Provide input into the quarterly ISP reviews, annual assessments, goal plans, and other required forms within the correct time frame in cooperation with the Residential Program Specialist.
  3. Ensure implementation of ISP and outcomes through goals and activities.
  4. Communicate progress and concerns of the individuals to the Residential Program Specialist.
  5. Ensure correct documentation for all individuals in the daily binders, behavior plans, and other forms. Preserve documentation based on organizational protocols.
  6. Fulfill roles as assigned in HCSIS.
  7. Monitor and work to lessen "out of care" days of the individuals.
  8. Create, coordinate, and maintain staff schedules, activity calendars, community outing plans, medication administration records, and petty cash records.
  9. Assist in all aspects of the licensing process and ensure compliance with state regulations.
  10. Responsible for reviewing, maintenance and updating of the individual's personal record and information (including emergency / health / medical / safety / financial information, etc.).
  11. Be present and participate in any meetings, supervision and trainings as required when collaborating with members of the ISP team.
  12. Manage and develop programmatic services appropriate to assist in the achievement of an individual's identified outcomes / goals.
  13. Assist individuals with personal care and supervision as outlined in their ISP, as needed.
  14. Oversee general activities and outings for the individuals.
  15. Communicate with supervisor, staff, and families concerning needs of individuals.

Household

  1. Ensure that individuals have adequate supplies of clothing and personal items.
  2. Coordinate menu development and grocery shopping with staff as well as assisting with food preparation as needed.
  3. Coordinate and complete housekeeping assignments, order supplies, and shop for household supplies in conjunction with staff.
  4. Ensure the general household maintenance and upkeep.
  5. Assist the individuals with food preparation and general housekeeping to develop their skills in these areas as needed.

Medical

  1. Schedule and attend medical appointments for individuals. Complete required paperwork.
  2. Report medical observations and concerns to designated agency personnel.
  3. Document seizures, incidents, etc. on appropriate forms.
  4. After becoming trained in medication administration, administer medications to the individuals as prescribed.
  5. Reorder medications as needed.
  6. Prepare medications for therapeutic leave.
  7. Ensure the individuals' physicals and immunizations are completed and up to date.

Supervision

  1. Provide initial orientation and ongoing supervision for Direct Support Professionals.
  2. Provide leadership during shifts and on call, as needed.
  3. Provide ongoing encouragement, help, and feedback to staff.
  4. Complete in a timely manner the New Hire and Annual Performance Appraisals of direct care staff for review by the Executive Director of Operations and the Director of Human Resources so that they are processed on time.
  5. Report staffing issues / concerns to the Director of Human Resources and / or the Executive Director of Operations.
  6. Ensure all required documentation is completed accurately and thoroughly.
  7. Assure that direct care staff receive and maintain required trainings, certifications, and other employment requirements.
  8. Oversee staff as they assist individuals with personal care and supervision as outlines in the ISP.
  9. Train and monitor staff in providing age and functionally appropriate activities the includes assistance, training, and support for the acquisition of functional skills, personal needs, communication and personal adjustment to promote greater independence.
  10. Encourage and assist staff staff to create meaningful community inclusion activities for individuals.
  11. Coordinate scheduling to meet required levels of staffing.
  12. Find coverage or substitutes, as needed, for staff that cannot fulfill a shift. House Manager will fill in for staff as needed.
  13. Monitor and complete all time and attendance and scheduling related duties in the MITC system.
  14. Ensure compliance with policies and procedures and with regulations.

Other

  1. Provide necessary transportation of individuals as needed in Jessica & Friends Community vehicle.
  2. Handle emergencies based on organizational protocols.
  3. Serve on committees either as a volunteer or appointed.
  4. Communicate with supervisor, staff, and families concerning needs of individuals.
  5. Oversee individuals' lock boxes and house petty cash.
  6. Monitor monthly fire drills and required documentation.
  7. Maintain general upkeep of the home and company vehicles.
  8. Participate and / or facilitate staff meetings, trainings, and in-services.
  9. Participate in at least twenty-four hours of training annually as required by the regulations.
  10. Review applications, interview potential candidates, and participate in hiring process.
  11. Work with Director of Finance to create, implement, and monitor revenue and expenses in the house budget.
  12. Serve as on-call.
  13. All other duties as assigned.

Work Schedule: The Program Manager (House Manager) is scheduled for 40 hours per week. This position may require fulfillment of direct care during all shifts and occasional overnight duty may be required in addition to administrative duties. It is expected that this position work on short notice in the event of an emergency.

 
Position Requirements

Job Requirements: Must be at least 18 years of age with a high school diploma or GED. Must also have a valid driver's license. Must have at least two years of driving experience to transport individuals to and from activities, appointments, and workshops, using Jessica & Friends Community vehicles. Must submit to a criminal background check, a driver's record check, an initial physical, and a substance screening. Additionally at least 3 years experience in human services (IDD) is required and a minimum of 1 year experience with supervision of staff is required. At least two years of human services experience can be substituted for the high school diploma or GED.
