Job Title: Residential - Assistant House Manager

Classification: Non-Exempt

Definition and Basic Function: Will be involved in the general supervision, care and activities of the individuals. Assist the House Manager in implementing designated aspects of the home. Coordinate activities and programming on behalf of the manager as assigned by the House Manager.

Responsibilities:

Programming

  1. Implement the goal plans for individuals in conjunction with the House Manager.
  2. Provide input into the quarterly ISP reviews, annual goal evaluations, assessments, and other required forms within the correct time frame in cooperation with the Program Specialist. Attend required ISP meetings.
  3. Correctly document progress for all individuals in the daily binders, behavior plans, and daily logs. Preserve documentation based on organization protocols.
  4. HCSIS - enter reportable incidents and complete the initial portion of incidents into HCSIS after notifying the House Manager (point person) of the incident.
  5. Track attendance of individuals by completing the Residential Billing / Tracking Attendance Form.
  6. Create, coordinate, and maintain activity calendars, community outing plans, medication administration records, and petty cash records.
  7. Assist in all aspects of the licensing process and ensure compliance with state regulations.
  8. Check individual's wallet receipts against transaction log.
  9. Write the account codes on the petty cash receipts, and charge receipts, and circle the amount, date, and vendor for all receipts that are turned in by staff
  10. Print out paperwork as needed.
  11. Work with the House Manager to develop the agenda for house meetings
  12. Coordinate and maintain staff schedules in conjunction with the House Manager in MITC Human Resources System
  13. Checking employee time sheets for accuracy, notifying employees of any needed edits and approving employee time sheets in MITC in the House Manager's absence
  14. Compete all other programming needs as assigned by the House Manager.

Household

  1. Ensure that individuals have adequate supplies of clothing and personal items.
  2. Coordinate menu development with staff as well as assisting with food preparation as needed.
  3. Provide House Manager with a list for grocery shopping and household supplies.
  4. Coordinate with House Manager for purchasing of groceries and household supplies
  5. Ensure the House Manager is notified of any general household maintenance needs and repairs as needed.
  6. Ensure the home is compliant with PA 6400 physical site regulations. Report any concerns to the House Manager and complete work order requests as needed for maintenance repairs
  7. Assist the individuals with food preparation and general housekeeping to develop their skills in these areas as needed.
  8. Maintain general upkeep of the home and company vehicles.

Medical

  1. Schedule and attend medical appointments for individuals. Complete required paperwork.
  2. Report medical observations and concerns to the House Manager and family members if the situation warrants
  3. Document seizures, incidents, etc. on appropriate forms.
  4. After becoming trained in medication administration, administer medications to the individuals as prescribed.
  5. Reorder medications as needed.
  6. Prepare medications for therapeutic leave.

Supervision

  1. Provide leadership during shifts and on call, as needed.
  2. Complete Coaching / Counseling documentation as needed.
  3. Complete Employee Counseling Notices for discipline resulting in oral warnings
  4. Work with the House Manager to complete Employee Counseling Notices for discipline that result in written warnings, suspension, probation or termination if the situation warrants
  5. Be involved in the Employee Appraisal process by providing input on scoring, comments and goal suggestions

Other

  1. Fulfill all Direct Professional Support duties as scheduled.
  2. Handle emergencies based on organizational protocols when the House Manager is unavailable. The House Manager should always be notified of the emergency at the earliest convenience.
  3. Communicate with supervisor, staff, and families concerning needs of individuals.
  4. Serve as on-call, every other weekend and as needed.
  5. Monitor monthly fire drills and required documentation.
  6. Attend staff meetings and in-service training as scheduled and / or review / read the minutes of those meetings.
  7. Participate in at least twenty-four hours of training annually as required by the regulations.
  8. All other duties as assigned.

Work Schedule: This is a full-time position. The usual weekday hours may range from 6:00 - 9:00 a.m. and 2:00 - 11:00 p.m. May include overnight (sleep / semi-sleep) as necessary. Weekend work is also required. In addition, there will be administrative day hours assigned as needed by the House Manager to fulfill the administrative duties of this position and to work closely with the House Manager. It is expected that this position work on short notice in the event of an emergency.

 
Position Requirements

Job Requirements: Must be at least 18 years of age with a high school diploma or GED. Must also have a valid driver's license. Must have at least two years of driving experience to transport individuals to and from activities, appointments, and workshops, using Jessica & Friends Community vehicles. Must submit to a criminal background check, a driver's record check, an initial physical, and a substance screening. At least two years Human Services/IDD/Autism experienced is required. Additional education or experience in human services is preferred. At least two years of human services experience can be substituted for the high school diploma or GED.
