Assistant, Educational Initiatives

Summary:

The Academy is seeking a highly dedicated and dependable individual to serve as the Assistant to the Director of Educational Initiatives. While the duties of this position include basic administrative and support, the successful candidate will also demonstrate advanced organizational and interpersonal skills, and a strong work ethic and sense of individual responsibility. Attention to detail is a must.

Responsibilities:

  • Provide administrative support to the Educational Initiatives and Academy Gold teams including scheduling meetings, answering phones, greeting guests, creating meeting agendas, taking meeting notes, sorting mail and replying to general phone/mail/e-mail requests, managing files, and processing invoices and expense reimbursements.
  • Assist with education programs including inquiries and preparation of event materials.
  • Ensure that all files and databases for the department are properly maintained and up to date.
  • Maintain database of external contacts.
  • Maintain department records, including DVDs, photographs, fliers and programs.
  • Coordinate department-related travel.
  • Assist with special events and projects as assigned.
  • Work with Preservation and Foundation Programs (Public Programming, Nicholl Fellowship, and Student Academy Awards and Grants) throughout the year as needed.
  • Perform other duties as assigned to achieve the goals of the department and the Academy.
 
Position Requirements
  • Bachelor’s degree preferred.
  • At least 2-3 years professional administrative experience, preferably in nonprofit, education, or film.
  • Extensive knowledge of motion picture history is preferred.
  • Demonstrated high level computer expertise, especially with MS Outlook, Word, Excel, and PowerPoint.
  • Outstanding communication skills, especially interpersonal, with the aptitude to handle a variety of people and personalities with discretion and poise.
  • Must be extremely detail-oriented with exceptional organizational skills and the ability to work on multiple projects in a deadline driven, fast-paced, high-pressure environment while keeping a cool head and pleasant demeanor.
  • Must be flexible with the ability to handle ever-changing schedules and situations.
  • Availability for occasional night and weekend work, sometimes on short notice.
