Purpose of Division

The National Initiatives Division is responsible for developing, testing, and managing innovative national programs and services designed in support of the approximately 250 NeighborWorks Organizations with the overall objective of sustaining a network of excellence that creates opportunities for people to live affordable homes, improve their lives and strengthen their communities.

In addition, the division oversees grant programs beyond the NeighborWorks Network, including other non-profit and governmental agencies throughout the country. The areas of focus within National Initiatives include homeownership and lending, financial capability, community and resident engagement, creative community development, healthy homes and communities, real estate development, enterprise strategies, asset management and the sustainable business initiative, among others. The division is led by the Senior Vice President of National Initiatives, who is responsible for establishing the priorities and strategic direction for the division. The duties of this position are performed under the direct supervision of the Senior Vice President of National Initiatives in coordination with the Vice President of Operations.

Position Summary

The Coordinator is responsible for the coordination of division-level functions and activities as well as providing administrative to support the SVP. In addition, the Coordinator provides ad hoc support to the division’s Operations and Real Estate business units. The position supports multiple critical administrative functions, including managing GSA micro-purchasing, processing payments and expense reports, compiling and editing reports, meeting planning and logistics, communications, coordinating onboarding of new divisional staff, designing and maintaining administrative systems, and understanding and ensuring compliance with corporate policies and procedures. The position requires an individual to be proactive and working independently in execution of the duties, to bring a commitment to collaboration in a team environment, and to demonstrate strong writing and verbal communications skills.

Essential Responsibilities:

  • Provide administrative support for the Senior Vice President. Proactively oversee and manage scheduling. Prepare expense reports for the SVP and assist with travel arrangements as needed. Track documents for SVP review and approval and maintaining accurate records.
  • Serve as the planning lead and support event logistics for division events and National Real Estate Program convenings. This includes multiple on- and off-site meetings, conferences, workshops and trainings. Proactively resolve issues arising during the event planning process.
  • Coordinate divisional event calendar and maintain and communicate division event plans for the NeighborWorks Training Institutes. Manage training slots in collaboration with the Field division and provide clear and timely communication to relevant division staff.
  • Serve as a Central Purchaser for the division, providing support as needed to the SVP and Operations team. Manage GSA micro purchases in compliance with current procurement policy, including timely and accurate reconciliation.
  • Coordinate the regular meetings of National Initiatives’ leadership and Operations teams. This includes scheduling meetings and developing agendas and managing and communicating division deliverables and deadlines.
  • Lead the division on-boarding process, including maintaining an up to date onboarding packet, supporting managers with new hires, and seeking feedback for continuous improvement of the process.
  • Organize and maintain share drive for the Office of the SVP and Operations, including a filing system for reports, correspondence, and presentations. Maintain and oversee updates to Inside NeighborWorks intranet site for the division.
  • Responsible for preparation of correspondence, reports, presentation materials, and other written materials that support the SVP and the division’s business. This includes coordinating contributions to documents from multiple sources, editing, proofreading and formatting, and applying corporate style and design as needed.
  • Serve as a primary point of contact for the division’s stakeholders (internal and external), vendors and partner organizations. Provide excellent customer services. Prepare detailed and accurate responses to information requests.
  • Complete other job-related duties and special projects as assigned, including participation in cross-divisional and intra-divisional workgroups.

Nature of Work Contacts:

The Coordinator will interact with a diverse group of internal staff, network organizations, consultants, external partners, funders, and other stakeholders from within and outside NeighborWorks America.


Fiscal Responsibilities:

The Coordinator will be responsible for managing the division’s purchase card, reconciling statements, processing invoices and tracking budgets.

 
Position Requirements

Required Minimum Qualifications:
(a) Education: Minimum Associates Degree preferred. Relevant experience will be considered in lieu of a degree.

(b) Experience: At least five years of executive administrative assistant and/or program coordination experience with progressively increased levels of responsibility for providing support to senior staff

(c) Licenses, Certifications: None specified

(d) Competencies, Knowledge, Skills & Abilities:

  • Track record working in fast-paced administrative position, providing support to senior staff, and in a collaborative team setting.
  • Must have highly effective written and verbal communication skills, strong organizational skills, and attention to detail. Good eye for catching types and grammatical errors.
  • Experience independently planning meetings and events, and managing logistics.
  • Track record developing and implement administrative procedures and systems from general instructions. Experience managing and tracking fiscal tasks.
  • Ability to work independently and in support of a team is critical.
  • Comfortable with occasional interruption both on the phone and in person.
  • Ability to maintain confidentiality. Strong customer service skills.
  • Strong interpersonal skills with a demonstrated ability to establish and maintain effective working relationship with others and successfully interact with people at all management and support levels, as well as people of diverse socio-economic backgrounds.

Preferred Qualifications:
Experience working in a nonprofit or mission driven organization desired.
Housing and community development knowledge a plus. Non-profit experience is a plus.

Working Conditions:
