Summary:

The Academy Museum of Motion Pictures will be the world's premier institution dedicated to the art and science of movies. Located on Wilshire and Fairfax in Los Angeles, the Museum will be simultaneously immersive, experimental, educational, and entertaining. More than a museum, this dynamic film center will offer unparalleled experiences and insights into movies and moviemaking.

The Event Sales Manager will provide support to the Director of Sales where applicable and conduct sales related activities pertaining to the booking of all available facility rental spaces for the Museum. Responsibilities include event sales revenue, including executing outbound sales call requirements to drive awareness, conducting site tours with the goal of converting to sales, implementing lead generating strategies, identifying and pursuing target market opportunities, manage event administrative requirements from inquiry, contracting and reconciliation.

Responsibilities:

ESSENTIAL FUNCTIONS CLIENT RELATIONSHIPS

  • Inquiry intake including all pertinent event information (client contact, date, time, format, number of guests, location, etc.).
  • Follow-up on client inquiries and establish client relationships, create and finalize client budgets, proposals and contracts to be reviewed by Director prior to submittal.
  • Serve as the on-site contact for all events to liaison between event production team, management and client.
  • Attend event industry events to support company sales objectives, cultivate client relationships and encourage repeat business.

SERVICE DELIVERY

  • Determine customer needs and propose appropriate solutions.
  • Assist with conducting client walkthroughs of venue spaces with the intent to close event.
  • Identify leads, manage prospects and acquire new business.
  • Update and maintain accurate records and official documentation for the site including web pages where applicable.
  • Identify opportunities for improved operation and service excellence, making recommendations for consideration.

ADMINISTRATION

  • Assist Director of Sales in preparing for trade shows, sales missions and promotional client events.
  • Respond to all event inquiries, submit proposals and prepare contracts via phone & email.
  • Conduct regular meetings with events team to review sales activities, progress on goals and status of prospective customers.

FINANCE / COST CONTROL

  • Assist with operational reporting, budgeting, financial systems, purchasing, expense reports submission as necessary.
  • Prepare final event invoicing for presentation to client.
  • Receipt and process all deposits, client refunds for overpayment, event files, receipts & signatures updates.

LEADERSHIP

  • Actively support an environment of teamwork, cooperation, service excellence.
 
Position Requirements
  • 3+ years prior experience in events, sales, hospitality or related field.
  • Excellent sales approach and negotiating skills.
  • Strong communication, organization and problem-solving skills.
  • Proficiency with MS Office.
  • Knowledge of CRM & Venue management platforms preferred.
  • Ability to work independently with little supervision and be resourceful under pressure.
  • Must be self-motivated, confident, energetic and flexible with the willingness to do what it takes to get a job done.
  • Must be flexible with schedule as working non-traditional hours, such as, evenings, weekends, and/or holidays may be required.
