Description

Summary Objective

The Tax Processor II will prioritize and coordinate the gathering and accurate reporting of time-sensitive real estate tax information within multi-state geographic regions. Ensures accurate dates and information are maintained on LERETA's Agency Profile and Reporting Calendar systems. Advises of unusual tax office circumstances or requirements that could endanger the timely reporting of current or prior year real estate tax information. Mentors and monitors Tax Processor I activities.

Essential Functions

WORKLOAD TRACKING:

  • Prioritizes monthly tax office assignments to ensure regular follow-up and timely completion.
  • Updates daily Excel tracking reports to detail actions taken, status change, and next follow-up date. Provides sufficient detail for Supervisor to assess progress and ensure smooth transition if workload is reassigned to co-worker.
  • Assists the Supervisor with end-of-day compilation and next day distribution of updated Daily Excel tracking report.

TAX OFFICE CONTACT:

  • Contacts various tax offices to obtain timely and reliable tax billing and/or tax payment status information.
  • Composes and sends e-mail or FAX requests to various tax offices to obtain timely and reliable tax billing and/or tax payment status information.
  • Uses persistence and resourcefulness regarding left messages (call various times and days, leave concise messages) or to ensure contact accuracy (verify phone/fax with county tax office, etc).
  • Assists Tax Processor I as directed by Supervisor.

TEAM COMMUNICATION:

  • Assists in compilation and distribution of daily Excel tracking report updates.
  • Advises Supervisor of any tax office issues or circumstances that could jeopardize LERETA's ability to procure and report timely tax information to our customers. Provides this information in an effort to determine if late reporting can be considered 'uncontrollable' for team and lender report card metrics.
  • Actively participates in team huddles and meetings.
  • Assists others as needed, including answering Tax Processor I questions if directed by Supervisor. Advises Supervisor of any potential team performance issues.

QUALITY CONTROL:

  • Reviews incoming information. Takes reasonable steps to ensure information is accurate prior to keypunch/reporting to our customers.
  • Adheres to established procedures, including policies concerning output and statistical report verification and/or completion of process checklists.
  • Repeats key information when gathering data from phone (amounts, dates) back to source to ensure comprehension.
  • Uses cut-n-paste function when gathering data from website or search tool for critical data elements such as Tax ID to minimize transposition or typographic keystroke error.
  • Advises Supervisor if LERTA Agency Header or Report Calendar information is incorrect or outdated. Confirms all proposed changes are accurate and necessary.
  • May be required to quality control Tax Processor I work.

Performance Standards

  • Prepares workload assignments for timely job production. Monitors pending counts and report all items issued prior to LERETA liability cut-off dates.
  • Contacts various tax offices via phone/fax to obtain accurate tax billing and/or tax payment status information at an average rate of twelve (12) tax offices per hour.
  • Performs website look-ups to obtain accurate tax billing and/or tax payment status information at an average rate of seventy-five (75) parcels per hour.
  • Achieves month-ending "Tax Liens Reported" compliance goal of 99.80% net liens for current year taxes and 99.00% net liens for prior years, less "late release' or other 'uncontrollable" variables.
  • Tags current tax Handle Manual items within 48 hours and completed within ten (10) days, but no later than ten (10) days prior to economic loss date (ELD).
  • Achieves timely reporting goals defined as 99.50% reported current tax liens at least nine (9) or more calendar days prior to due date. For prior year tax reporting, reports same-month within a ten-day window of the target reporting date.

 
Position Requirements

Core Competencies

  • Ability to organize and manage monthly workload assignments in multiple states with daily status notes communicated to Supervisor.
  • Must be able to work independently with little direct supervision.
  • Strong verbal and written communication skills.
  • Courteous and professional phone and written skills are required.
  • Professional verbal and written skills to effectively build and maintain positive working relationships with tax offices.

Required Education & Experience

  • High School or GED diploma.
  • Microsoft Word and Excel familiarity.
  • 2 years related experience.

Preferred Education & Experience

  • Associate’s Degree or equivalent.
  • 3 years Tax Processor I experience.
  • Microsoft Word, Excel, and Access proficiency.
