Publications Coordinator, Academy Museum 


Job Summary:

The Academy Museum of Motion Pictures will be the world's premier institution dedicated to the art and science of movies. Located on Wilshire and Fairfax in Los Angeles, the Museum will be simultaneously immersive, experimental, educational, and entertaining. The Publications Coordinator participates in the realization of exhibition catalogues, collection books, museum labels, and other materials related to the exhibitions, collections, and programs of the Academy Museum of Motion Pictures, contributing to scholarship on film and enhancing the Museum's visibility. This role is complex and multi-faceted, requiring initiative, sound judgment, flexibility, diplomacy, and attention to detail. The Publications Coordinator must be able to work independently to organize tasks of varying magnitude and scope to meet overlapping or competing deadlines and maintain exacting editorial and production standards.

Duties and Responsibilities:

  • Copyediting, proofreading, general fact-checking of content and verification of the accuracy of quotations and footnote references, as well as cross-checking all parts of publications or printed materials against one another to ensure that the spelling of proper names and terms and the deployment of titles, measurements, and dates are coherent throughout. Preparing style sheets and working indexes for publications and contributing, as needed, to the development of biographies, chronologies, bibliographies, lists of images, captions, and photo or loan credits, front and back matter, and material for publishers' sales catalogues.
  • Coordinating the production process for catalogues, books, didactics, and other printed materials from design to finished product, working with co-publishers and /or independent designers, digital pre-press technicians, printers, binders, materials suppliers, and transportation providers.
  • Sourcing images for reproduction, acquiring publishable digital files, assembling information required for licensing or clearing rights to reproduce, coordinating the processes of image procurement and permissions, and tracking relevant paperwork.
  • Coordinating shipping, inventorying, and storage of publications as well as tracking and coordinating their internal and external distribution.
Position Requirements
  • MA or MFA degree in relevant field.
  • 5+ years of professional experience in publications.
  • Fluency in English and a thorough knowledge of the principles of editing – specifically the rules and guidelines set forth in the Chicago Manual of Style – coupled with the ability to apply those principles within the context of the Academy Museum's focus on film and filmmaking.
  • Rigorous grasp of spelling, grammar, and punctuation, and the ability to proofread with close attention to detail and an eye to consistency of style, language, and punctuation usage across the full spectrum of communications and publications produced by the Academy Museum.
  • Reading ability in one or more foreign language preferred.
  • Fluency in Microsoft Word, Excel, Adobe Photoshop, and InDesign, as well as other relevant software and database systems.
  • Ability to conduct independent research in libraries, archives, and collection databases.
  • Familiarity with the history and art of film and filmmaking on an international scale, acquired either through formal education and training or relevant experience.
  • Ability to grasp and communicate in writing the Academy Museum's goals and overall mission, and to adhere to the standards, policies, and requirements of its publications.
  • Ability to communicate in writing the particular vision of individual exhibitions, projects, and programs to diverse audiences that include the general public of all ages, industry professionals, critics, and scholars.
  • Ability to reorganize and present an author's work in a format and style that is in keeping with Museum standards without changing the substance or 'voice' of the original document.
  • Ability to communicate with tact, persuasiveness, and efficacy with colleagues and collaborators at all levels within Academy Museum and the Academy of Motion Picture Arts and Sciences, and also with external parties.
  • Ability to carry light objects including books, files, and documents, and occasionally move boxes of catalogues within the Museum or coordinate in-house or commercial moving teams to transfer heavier containers over varying distances as needed; whereas most work is performed in a designated office setting, the position requires that some tasks be carried out in the Museum galleries or one of the Academy's facilities.
