Job Summary:

The Academy Museum of Motion Pictures will be the world's premier institution dedicated to the art and science of movies. Located on Wilshire and Fairfax in Los Angeles, the Museum will be simultaneously immersive, experimental, educational, and entertaining. More than a museum, this dynamic film center will offer unparalleled experiences and insights into movies and moviemaking.

Under the supervision of the Prospect Researcher Manager, the Database Coordinator oversees the Museum Advancement activity in the Academy Museum database and related business processes; provides proactive support in membership, development, and operations; and implements best practices in information management. This position is responsible for the integrity of the database, maintaining and updating records, and the coordination of gift processing.

Duties and Responsibilities:

  • Manage and maintain the day-to-day operations of the Advancement activity in the database while enhancing the accuracy and integrity of the data. This includes removing inaccurate data and performance tuning.
  • Handle all aspects of gift processing and acknowledgement, including Museum memberships and pledge invoicing.
  • Review, process, and acknowledge all donations within 48 hours.
  • Ensure that all gifts are processed in accordance with industry best practices and IRS guidelines.
  • Manage signature process of all acknowledgement letters.
  • Design, differentiate and update gift acknowledgments, based on various giving levels.
  • Manage and update all gift and demographic information related to all our constituents.
  • Maintain data integrity by continuously addressing data issues.
  • Maintain development files and shared drive.
  • Manage and maintain all supporters lists.
  • Cross-train in multiple aspects of Advancement team support and perform other duties as assigned.

 
Position Requirements
  • Experience in and competency with database administration. Salesforce experience preferred.
  • Must be comfortable with large amounts of data in a fast-paced work environment.
  • Strong attention to detail and ability to discern relevant facts in problem-solving.
  • Commitment to confidentiality and the Donor Bill of Rights.
  • Excellent written and oral communication skills.
  • Ability to work independently, handle multiple tasks, and prioritize work.
  • Flexibility to work occasional evenings and weekends.
