HR Assistant 

About the Organization Allied Oil & Supply, Inc. is a family owned business head-quartered in Omaha, NE. Allied Oil is a lubricant distribution business which sells to the passenger car, truck, and manufacturing segments. The company's six branches sell and distribute premium branded product such as: Shell, Petro-Canada, Chevron, Valvoline, Premium Blue, CAT, Bio Blend, & Allied private label. The company has locations in Omaha, NE, Sioux Falls, SD, Des Moines, IA, Kansas City, MO, Joplin, MO, and Wichita, KS.

Allied Oil & Tire Company is a well-established, 61 year old, family owned business that specializes in regional distribution of nationally branded lubricants. We are looking for a HR Assistant with not only a strong knowledge of benefits but a passion for helping employees.

Primary Responsibilities:

  • Coordinate new hire enrollment by providing explanation of benefits and fulfillment procedures in a timely manner while ensuring compliance is maintained
  • Conduct weekly new hire orientation and collaborate with hiring managers to ensure all new hires attend
  • Administer and maintain wellness program for enrolled employees
  • Administer COBRA, LOAs, FMLA usage and other issues as required by our in-house regulations and legal requirements
  • Work with payroll on benefit deductions, final pay, PTO pay, employee charges, commission, etc.
  • Inform employees of changes to the benefits structure and answer questions in a timely manner
  • Assist employees in resolving issues with insurance providers and other benefit administrators
  • Review bi-weekly payroll deductions to ensure accuracy
  • Provide ongoing support for the Human Resources Team
  • Process all enrollments quickly and accurately by ensuring providers have correct information and enter manually if needed
  • Provide support to the Director of Safety with Workers’ Compensation and liability claims
  • Respond to requests for verification of employment
  • Reconcile monthly benefit invoices with payroll deduction reports
  • Administer Open Enrollment for all employees ensuring 100% employee activity
  • Maintain open communication and relationships with both benefit providers and broker
  • Other duties as assigned
Position Requirements

Knowledge, Skills and Abilities:

  • Proficient with MS Excel, Word, and Outlook
  • Ability to apply knowledge of policies and procedures and accurately interpret and give correct and consistent information upon request
  • Excellent verbal and written communication skills with all levels of employees including the Executive Team
  • Must be detail oriented, logical and able to problem solve methodically
  • Possess the ability to work successfully in a team environment as well as independently
  • Ability to maintain a high level of confidentiality
  • Ability to take direction from different sources

Education and/or Experience:

  • Bachelor’s degree in Human Resources or related field, or combination of education and experience
  • 1 – 2 years of relevant work experience preferably with an emphasis on benefits and analytics
  • Familiarity with employment laws, EEO, ERISA, and compliance is highly preferred
