Description

SUMMARY
Responsible for identifying and securing concert, theatre, and special event bookings within the Morris Performing Arts Center complex, as well as any third parties contracted to do the same; represents the Morris to community stakeholders and industry representatives; directs the operations necessary to support the booked events including coordinating and monitoring front of house event logistics with facility staff, volunteer ushers, and security; oversees the staff that coordinates front-of-house operations.

SUPERVISION EXERCISED
Responsible for overseeing office functions and supervision of staff specifically the Operations Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES
This list represents the types of duties required by the position. Other duties may be assigned as reasonably expected.
• Communicates with promoters and agents on a daily basis in order to generate future bookings
• Communicates with contracted firms in marketing and booking of facility
• Negotiates rentals with outside promoters/presenters and prepares deal memos
• Prepares and provides promoter/presenter with estimated expense sheets for facility lease, equipment rental, and labor/event service
• Interprets event rider; develops detailed plans and show notes for each event including media information, contact information; and distributes necessary information and event requests to all appropriate facility personnel as may be necessary to properly service booked event
• Marketing liaison between local radio, print and television, working closely with sales representatives and promoters to market shows
• Security liaison with City of South Bend. Create evacuation procedures manual and instruct staff on yearly training activities including active shooter, extinguisher usage, fire drills, etc.
• Supervises operations manager
• Assists promoters/presenters with determining ticketing price scaling
• Coordinates all front of house event requirements to ensure quality and cost control on day of event; and assures that front of house area set ups are in accordance with lease agreement, fire, and safety codes.
• Conducts pre-event inspection of event facilities to insure readiness and cleanliness
• Provides event related expenses and invoices to the MPAC~Director of Financial Services for settlement
• Assists in handling event-related complaints and problems
• Oversees the recruiting; scheduling and training volunteer usher staff on front of house service including such as items as public safety, crowd control, and emergency preparedness
• Oversees the production of 'Fridays by the Fountain' Morris summer concert series in the Jon R. Hunt Plaza.
• Maintains records and prepares reports and correspondence as necessary
• Maintains a calendar of events for theater rentals and coordinates calendar with the Palais Historic Ballroom
• Represent the venue at various industry events as needed/required
• Primary day of show manager on duty. Responsible for opening house, front of house operations during event, merchandise settlements, closing at end of event
• Assists with negotiating contracts with sub-contractors needed for event operations, housekeeping, security service, and IATSE
• Other duties may be assigned and required

NON-ESSENTIAL JOB FUNCTIONS
• Answers phone and performs other administrative duties. Other duties may be assigned and required.

Position Requirements

EDUCATION AND/OR EXPERIENCE
• Bachelor Degree in arts administration, marketing, or related field.
• Five to seven years’ experience in increasingly responsible management positions, preferably in a public assembly arts facility.

KNOWLEDGE, SKILLS AND ABILITIES
• Must have knowledge of Microsoft Suites.
• Working knowledge of City or County government a plus.

CERTIFICATES, LICENSES, REGISTRATIONS
• Valid Driver’s License.
• Certified Facility Executive (preferred)

EQUIPMENT
Desktop and laptop computer; telephone.

WORK ENVIRONMENT
Work is performed in office settings, with moderate inside temperatures. The noise level in the work environment is usually quiet to moderate and noise levels may increase depending on activities or events in the facility. Entire office is smoke free.
