DUTIES & RESPONSIBILITIES: Overall responsibility for creative, technical and logistical aspects of group events including, but not limited to, tours of the facility, contacting and organizing outside vendors, and coordinating menus with the catering team and Chef Responds to venue rental inquiries via phone and email Participates in inbound and outbound sales and marketing campaigns, including but not limited to trade shows and site visits Attends industry networking events and continuing education seminars Presents venue and amenities in a favorable manner while adjusting sales presentation delivery to suit specific audiences Works closely with a broad range of individuals, organizations, and personalities to identify, understand, and meet their event goals through services and facilities Works with the occasional outside vendor to ensure objectives, standards, and safety are in line with venue requirements Assists group leaders with planning by helping to coordinate catering and meal arrangements, dietary restrictions, meeting hall sets, rooming lists, answering general park questions, and offering upsells and recommendations as appropriate Coordinates with General Manager regarding all aspects of event catering requirements. The General Manager will have final approval of all menus. Coordinates with General Manager on event staffing levels and timelines Closely communicates with the client throughout event planning and during the event; conducts an exit survey and seeks social media recommendation Execution of all tasks in a timely manner, including invoicing of clients, communication with clients and team, as well as post-event follows up Provides event staff with clear objectives and directions, empowering them to exceed guests expectations whenever possible Supports staff and remains flexible and willing to help any department needed Coordinates in-house and holiday events, as well as seasonal decorating Notifies management immediately anytime a guest is not 100% satisfied with their experience Ensure operations align with health and safety regulations and crowd management Be a willing member of Basecamp Hospitality, dba Angel Island Recreation Company performing all duties and functions as assigned to the best of his/her ability. PERSONAL PROTECTIVE EQUIPMENT: The Event Coordinator will use various office tools and equipment on a daily basis. No open toe sandals or flip-flops will be allowed on the job. The Event Coordinator will be knowledgeable about the safety practices and standards set by the Company, relative to the work environment he/she operates in. He/she will also make it a duty to assure that all co-workers are working with those same safety practices and standards.
