Loan Administration 

Description

The Loan Administration position is primarily responsible for accumulating and filing all loan support documentation (e.g., completed applications, financial statements, credit bureau reports, insurance verifications, collateral titles and filing receipts, etc.). Work is routine in nature. Incumbent applies working knowledge of loan processing principles and technologies to work performed. Works under general supervision and in compliance with established policies, procedures and regulations.

ESSENTIAL FUNCTIONS

  • Verifies proper approval on loan source documents in accordance with established lending authorities.
  • Answers incoming phone calls, and provides clerical support to Loan Officers.
  • Order necessary documentation for file (Credit Reports, Appraisal, Title Policy, etc.)
  • Prepare Loan Documents, consumer's disclosures, etc. – Request appropriate documentation from borrowers, attorneys, lenders, appraisers, title companies, etc.
  • Works with account officer, customer or car dealer to resolve any outstanding items and issues to facilitate loan closings and lien filings. Responds to questions regarding the appropriateness of certain documents and legal wording required by the Bank.
  • Determines when collateral exceptions exist and if they materially affect the Bank's collateral position. Communicates collateral deficiencies to account officers for resolution.
  • Prepares GL tickets, deposit slips, cashier's checks or wire transfers for funding loan proceeds and booking the loan to the system.
  • Coordinates and schedules loan closings and participates in loan closing (upon request).
  • Reviews and/or prepares loan closing documents for loan disbursement transactions to ensure completeness and compliance with applicable Bank policies and related regulations.
  • Clear up and monitor loan exceptions
  • Process loan payments or advances when needed
  • Provides backup for other Loan Administration employees during peak periods or employee absences.
 
Position Requirements

KNOWLEDGE, SKILLS & ABILITIES

  • Working knowledge of credit investigation and underwriting terminology, procedures and related regulations (e.g., Equal Credit Opportunity Act, Home Mortgage Disclosure Act, and Community Reinvestment Act).
  • Advanced analytical skills and ability to make independent decisions regarding depth and method of credit investigations.
  • Demonstrated ability to read and understand financial data and calculate income ratios.
  • Accurate keyboard skills at 50 wpm and 10-key by touch.
  • Advanced PC skills including word processing, spreadsheet and loan scoring applications.
  • Advanced written, oral, interpersonal and negotiating skills with ability to interview people at various levels to obtain general and specific credit related information.

This level of knowledge is normally acquired through completion of a high school diploma, or equivalent, and 2 years credit related experience.

WORKING CONDITIONS

Internal – Work is normally performed in climate controlled office environment, where exposure to conditions of extreme heat/cold, poor ventilation, fumes and gases is very limited. Noise level is moderate and includes sounds of normal office equipment (computers, telephones, etc.). No known environmental hazards are encountered in normal performance of job duties.

External – N/A

PHYSICAL DEMANDS

Work involves standing and walking for brief periods of time, but most duties are performed from a seated position. Work may include occasional pushing, pulling, or carrying objects weighing up to 20 pounds such as files, documents, and computer printouts. Work normally requires finger dexterity and eye-hand coordination to operate computer keyboard at an advanced skill level.

WORKING RELATIONSHIPS/CONTACTS

Internal – Extensive contact with personnel throughout the Corporation to resolve loan documentation or collateral deficiencies and to coordinate loan closings.

External – Frequent contact with customers, title companies, dealers and insurance providers in order to obtain or provide information and/or assistance and to resolve problems.

Supervision of Others – N/A

ACCOUNTABILITY

This position is directly responsible for the completeness and accuracy of loan closing and collateral protection documentation and for individual production goals.
