Job Summary:

Primary duties of the Operations Administrator are to oversee day to day building operations including managing vendor accounts and making sure the building remains clean and orderly to ensure a safe and efficient work environment for all staff and guests at the Pickford Center.

Duties and Responsibilities:

  • Oversee building operations for the Pickford Center and work within the assigned operations budget. Resolve issues or escalate as needed.
  • Act as point of contact and resource to Pickford staff for any building related issues.
  • Perform daily inspections of the building and adjacent grounds including conditions of sidewalks, landscaping, parking lot, carpeting, lobbies and hallways. Recommend solutions or improvements when necessary.
  • Maintain vendor relationships including price negotiations and overseeing service quality. Manage billing for all Pickford Operations vendor accounts.
  • Handle mail and package distribution.
  • Supervise daily responsibilities of janitorial staff and schedule additional evening and weekend staff for meetings and events as required.
  • Work closely with Meeting Services Coordinator in overseeing Resource Scheduler by approving meeting room and van requests and any needs to be provided by the Operations team.
  • Work with Facilities to keep basement organized.
  • Various Awards related responsibilities including accepting product deliveries and organizing for Oscar Fan Experience.
  • Work with Meeting Services and Security team coordinating catering/rental deliveries and event logistics when Operations support is needed.
  • Support Meeting Services Coordinator and Facilities in the execution of events and large-scale conferences at the Pickford Center.
  • Back-up to Switchboard as needed.
 
Position Requirements
  • Experience working in facilities/building operations.
  • Excellent communication skills with the ability to work with all levels of personnel, Academy members, and the public.
  • Ability to work quickly and efficiently under high-pressure situations.
  • Must be dependable and possess the ability to work as part of a team as well as independently with little supervision and excellent follow through.
  • Ability to lift up to 20 pounds.
  • A valid driver’s license in good standing.
  • Availability to be flexible with scheduling.
