Special Collections Archivist

Job Summary:

The Special Collections Archivist is responsible for arranging and describing manuscript collections held by the Special Collections department.

Duties and Responsibilities:

  • Processes (i.e., arranges, organizes, describes, and preserves) Special Collections manuscript and records materials in all formats for public research use in accordance with department and national standards, such as Describing Archives: A Content Standard (DACS).
  • Organizes and rehouses collections; analyzes documents for topical content to correctly describe individual documents; identifies sensitive materials; researches the historical context of collections and their creators; produces catalog records and finding aids using the Academy's collections management database; researches and writes collection scope and content notes.
  • Makes decisions on arrangement and description in consultation with the Collections Archivist and Manager of Special Collections. Ensures that material is processed according to best practices and at an appropriate level of detail.
  • For the first year the primary tasks will be processing collections in the backlog and assisting in database migration.
  • Other duties as assigned.
 
Position Requirements
  • Master's degree from an ALA-accredited program in library and information science.
  • Bachelor’s degree in film studies, history, art history or a related field.
  • Two years of experience in an archive or library is preferred.
  • Strong computer skills required. Applicants who have worked with a library content management system preferred.
  • Understanding of the principles of arrangement and description of archival collections and knowledge of archival best practices and current developments.
  • Working knowledge of current descriptive standards, including DACS.
  • Knowledge of American film history.
  • Ability to communicate both simple and complex ideas effectively, both orally and in writing, to people with varying degrees of knowledge of archival theory and practice.
  • Ability to set priorities, meet deadlines, and work independently and collaboratively.
  • Strong organizational and problem-solving skills.
  • Ability to attend to details with high accuracy without losing sight of larger goals.
  • Fluent English-language communication and writing skills required. Ability to read other languages a plus.
  • Must be able to sit and stand for periods in excess of 2 hours, climb stairs, retrieve and refile heavy boxes from shelving units using ladders and/or stepstools, lift up to 40 pounds and safely move carts loaded up to 120 pounds. May have to tolerate dusty/dirty materials.
