SUMMARY

Under the direction of the Assistant Director of Document Management, the Document Management Assistant will provide a welcome reception to campus visitors and Document Management customers both on the telephone and in person. This person will ensure the front lobby and reception area is kept neat and organized. The Document Management Assistant will provide clerical, administrative, and customer service support for the Document Management campus and operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Greet visitors and customers in a prompt and professional manner. Ensure all visitors, volunteers, and staff follow security protocols by managing sign in sheets and distributing ID badges where required.
  2. Answer telephone in a professional and prompt manner. Address general or customer telephone inquiries and/or ensure requests are forwarded on to the appropriate department.
  3. Ensure voice mail messages are checked daily and forwarded to the appropriate person.
  4. Keep current knowledge of all areas/departments of Opportunity Village campuses to ensure accurate responses to all inquires.
  5. Coordinate Walk-In Document Destruction services by processing customer requests, reconciling payments, and proper transaction bookkeeping.
  6. Submit Walk-In Document Destruction transaction receipts and cash box at end of shift to appropriate department.
  7. Assist the Document Destruction department with customer scheduling requests.
  8. Assist the Assistant Director with relaying Document Management sales information and/or forms to current and potential customers.
  9. Maintain Document Management files, update daily and weekly attendance reports, and manage additional record keeping and spreadsheets as needed.
  10. Assist with maintaining inventory of office and equipment supplies. Receive shipments and assist with reconciling purchase orders.
  11. Distribute mail and incoming faxes to recipients within the campus.
  12. Assist Activities Coordinators with daily bus duty.
  13. Perform other duties as assigned.
 
Position Requirements

SUPERVISORY RESPONSIBILITIES

This position has no supervisory responsibilities.

SKILLS REQUIRED

  • Ability to communicate effectively with individuals, co-workers, and customers (verbal and written).
  • Ability to communicate and work with individuals with developmental disabilities.
  • Must perform with professional attitude and calm demeanor.
  • Ability to work independently in a sometimes loud or distracting environment.
  • Ability to interpret instructions, process requests, and problem solve.
  • Computer literate; proficiency in Word, Excel, Outlook and Power Point.

EDUCATION AND EXPERIENCE

  • Required: High School Diploma or equivalent and two (2) years college coursework or two (2) years verifiable work experience in a clerical or administrative role.
  • Preferred: Experience working with individuals with disabilities.
