Description

Serves as the initial contact for incoming telephone calls and visitors. Ensures phones are answered and dispatched appropriately. Greets visitors and guests. Acts as the first line of security for the building. Ensures all visitors and temporary staff sign in and verifies identification as required. Serves as a back-up data entry and clerical resource for other departments or employees as required.

Call Management

  • Answers all incoming telephone calls with courtesy and responsiveness and dispatches those calls to the intended parties promptly and accurately.
  • Re-routes all voice mail messages left on main message mailbox during off hours to the intended parties' voicemail systems.
  • Remains alert to undelivered phone messages of an urgent nature and bring them to the attention of a supervisor.
  • Maintains a professional appearance of reception area at all times - clean, attractive and uncluttered.

Security Management

  • Ensures all visitors and temporary workers sign in on the appropriate logs and verifies identification as required.
  • Checks in visitors and informs employees guests have arrived.
  • Issues visitor badges in compliance with security procedures.
  • Issues temporary badges to employees following security procedures.
  • Monitors security video cameras in accordance with security procedures.
  • Participates as a member of the emergency response team.
  • Maintains master set of desk keys for the office.
  • Distributes parking badges.

Department Support

  • Provides administrative support to the Human Resources Department.
  • Maintains data for the Public Communication System (PCS).
  • Provides clerical support to the Operations Department.

Facilities Support

  • Maintains breakroom supplies.
  • Orders supplies/vendor point person.
  • Provides access to the facility to vendors that service the vending machine, photocopiers, printers, and similar equipment and services.
  • Notifies building management of facility issues requiring attention.
  • Notifies employees of any impending interruptions in any building services, access, parking areas, etc.
  • Work with Facilities Manager to schedule periodic maintenance tasks, as appropriate.
  • Reports maintenance issues to the Facility Manager.

This position will perform other duties as assigned based on the needs of the department.

 
Position Requirements
  • High School diploma or equivalent.
  • 2 years of related experience.
