GENERAL PURPOSE

This is a responsible position providing efficient administrative support for the assigned manager and work group. Work involves providing direct assistance in the planning, coordination, implementation, monitoring and reporting of the unit’s activities; the continued establishment and maintenance of information systems; and may include participation with periodic research and special projects. Work is within a well-defined system, as well as some projects that may require the exercise of considerable initiative and independent judgment. Work is distinguished by the variety of tasks involved, all of which require timely and effective customer service.

ESSENTIAL RESPONSIBILITIES:

  • Works to ensure integration and coordination with the Division Operations Manager
  • Coordinates and provides administrative support for the flow of work within the assigned work group
  • Manage document/report production, typing, proofing, editing, data entry. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for ensuring accuracy and clarity of final copy.
  • Assists assigned work group with the preparation and distribution of reports and correspondence
  • Assists work group with report issues including template, formatting, grammar and style guide
  • Track and manage timelines for reports and related correspondence to ensure multiple and ongoing due dates are met
  • Manages the collection, filing and distribution of documents and notices
  • Assists in maintaining the Division’s information management and filing systems to allow access to reports, data and documents
  • Composes and designs general correspondences, memos, charts, tables, graphs etc.
  • Assists with the maintenance of quality assurance systems
  • Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs
  • Handles confidential and non-routine information and explains policies when necessary
  • Participates in meetings and conference calls with the Division Operations Manager for input into coordinating the Division’s administrative procedures for clarity and uniformity on a national level
  • Schedules and organizes activities such as meetings, travel, conferences and department activities for all members of the work group
  • May conduct research, analyzes data and information, reports findings and makes appropriate recommendations for solution of administrative problems

SECONDARY RESPONSIBILITIES:

  • Assists with scheduling
  • Periodically assists with special projects across other divisions and district offices

NATURE OF WORK CONTACTS

Works with OAD staff as well as other Divisions. May also require some contact with outside consultants and vendors.

 
Position Requirements

MINIMUM QUALIFICATIONS:

  • High school graduate or GED required. Degree a plus.
  • Minimum 6 years’ experience preferred
  • Strong computer skills and proficiency in MS Office XP required
  • Strong attention to detail required
  • Problem identification, analysis and evaluation
  • Personal Effectiveness/Credibility
  • Collaboration Skills
  • Project management skills
  • Must maintain regular and timely attendance
  • Excellent verbal and written skills a must

PREFERRED QUALIFICATION

  • Bachelor’s degree a plus. Will consider relevant professional experience in lieu of a degree.

  • Time sensitive regular work flow—rigorous on-going due dates for reports and related correspondence. Must maintain a set reporting schedule.
