Description

JOB PURPOSE: Support the delivery of services through various administrative functions for the Community Based Services Department.

40% - Perform administrative duties in a timely and accurate manner

  • Type, print and proofread documents
  • Photocopy, scan and fax materials
  • Maintain program and client files
  • Maintain databases; internal client status spreadsheets

40% - Coordinate service delivery for assigned programs/contract. Including managing referrals, case assignments, service delivery, quality control, submission, tracking approvals. Receive and sort mail on a daily basis, place in staff boxes. Receive and sign for deliveries and notify recipient.

10% - Receive and sort mail on a daily basis, place in staff boxes. Receive and sign for deliveries and notify recipient.

10% - Assist program staff with various projects

 
Position Requirements

ESSENTIAL QUALIFICATIONS:

EDUCATION: High School or GED required.

EXPERIENCE: 1+ years strong administrative/clerical experience, 3+ years preferred; 2+ years in a customer service focused environment; social service and/or non-profit experience preferred.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.

OTHER: Must not pose a direct threat or significant risk of substantial harm to the safety or health of himself/herself or others.

EXCEPTIONS TO THESE CRITERIA MUST BE APPROVED BY THE DEPARTMENT HEAD.

ESSENTIAL KNOWLEDGE, SKILLS, and ABILITIES:

COMMUNICATION: Ability to communicate clearly and effectively via oral and written means. Ability to present a friendly and positive demeanor to clients served, staff and the general public. Proof reading skills.

COMPOSURE: Ability to remain calm and maintain self-control in the midst of difficult circumstances and emergencies. Ability to respond in a professional manner in all situations.

COMPUTER: Proficient knowledge of Word, Excel, Outlook. PowerPoint and Huddle a plus. 45 WPM, 95% accuracy.

ORGANIZATION: Ability to plan ahead several months to a year. Ability to keep various on-going projects organized and files maintained accurately. Requires good time management practices and the ability to meet multiple deadlines.

PHYSICAL REQUIREMENTS:

Constant – Ability to communicate with clients, staff and others over the telephone and in person.

Constant – Ability to input data into computer, complete paperwork, produce reports.

Frequent – Ability to review and proofread documents to determine accuracy and need support data.

Occasional – Ability to lift, stack, load, etc. up to 10 pounds.

Occasional – Ability to drive safely and recognize hazards.

REPORTS TO: Office Manager

SUPERVISES: N/A

 
Salary/Wage $15.87 to $17.31 hourly DOE with full benefits package
