Customer Service Administrative Assistant for ATCB

The National Board for Certified Counselors (NBCC), based in Greensboro, North Carolina, is the premier credentialing organization for professional counselors, transforming how the world discovers and views counseling.

NBCC is recruiting for a administrative assistant. The administrative assistant assists the Art Therapy Credentials Board (ATCB) Executive Director with the daily management of the organization's activities.

Essential Functions

Following is a summary of the essential functions for this job. Other duties may be performed, both major and minor, which are not mentioned below. Specific activities may change from time to time.

  1. Answers telephones calls and emails and provides relevant information to inquirers.
  2. Opens, reads, routes, and distributes incoming mail or other materials. Answers routine letters and emails.
  3. Places incoming correspondence in appropriate files.
  4. Processes application forms, including but not limited to renewals, recertification, and reinstatement.
  5. Organizes and maintains paper and electronic filing systems for records, correspondence, and other materials.
  6. Prepares credential packets, routine correspondence, and reports.
  7. Prepares ATCB payables.
  8. Coordinates with accounting regarding proper handling of payments.
  9. Assists with ATCB Board and committee meetings.
  10. Coordinates multi-day meetings and events (planning, room set-up, shopping, working with caterers, arranging dinners, etc.).
  11. Assists with preparing the ATCB for exhibiting at conferences (e.g., completing paperwork, gathering and sending printed promotional materials) and coordinating travel, lodging, and dining for ATCB Board members and staff.
  12. Maintains office supply inventory in all common work areas.
  13. Completes forms in accordance with company and client procedures.
  14. Operates office equipment, such as printers, copiers, phone and fax systems, and uses computer programs/systems for spreadsheets, word processing, database management, and other applications.
  15. Other duties as assigned.
Position Requirements

  • Associate degree preferred.
  • 3 years of related experience and/or training preferred, or equivalent combination of education and experience.
  • Experience using non Access databases is preferred.
  • Ability to read, analyze, and interpret technical information and procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals
  • Ability to effectively present information and respond to questions from managers, clients, customers, and the general public.
  • Ability to develop specific goals and plans to prioritize, organize, and accomplish work.
  • Intermediate knowledge of Microsoft Word, Outlook, Excel, and Adobe Systems desktop publishing.
  • Ability to use Microsoft Access and other customized data management software; perform simple data collection and analysis and mail merge.
