Sales Support Specialist 

About the Organization Allied Oil & Supply, Inc. is a family owned business head-quartered in Omaha, NE. Allied Oil is a lubricant distribution business which sells to the passenger car, truck, and manufacturing segments. The company's six branches sell and distribute premium branded product such as: Shell, Petro-Canada, Chevron, Valvoline, Premium Blue, CAT, Bio Blend, & Allied private label. The company has locations in Omaha, NE, Sioux Falls, SD, Des Moines, IA, Kansas City, MO, Joplin, MO, and Wichita, KS.

Summary: The sales support team will assist the Allied sales team with order and account management. Each sales support specialist will be assigned to a small group of designated, industry specific account managers.

Essential Duties and Responsibilities: include the following. Other duties may be assigned.

  • Support assigned account managers with activities such as order processing, quote generation, collecting purchase orders, related order paperwork and follow up with customers.
  • Assist account manager with pricing and contract management.
  • Responsible for lead generation and prospecting warm prospects for account managers.
  • Initiate and control sales process with designated accounts.
  • Assist in marketing communications and projects.
  • Use the CRM to track and report customer contact and opportunities.
  • Assist account managers with past due collections.
  • Prioritize customer needs and communicate that to the service department staff.
  • Answers inbound customer service calls, responds to customer emails concerning price quotes, placing orders and status of orders
  • Enters and oversees orders to ensure timely delivery or service
  • Coordinates all unscheduled deliveries with warehouse personnel, delivery and customer
  • Notifies customers regarding special delivery instructions
  • Checks product availability for pending/aging orders and monitors customer back orders
  • Finalizes orders and ensures payments are posted
  • Resolves customer service concerns after determining root cause of the concern and escalates customer issues requiring extensive problem solving
  • Coordinates common carrier deliveries including LTL, UPS and courier services
  • Promotes current marketing efforts by up-selling products and services
  • Works with Inside Sales personnel to ensure proper handling of new customers
Position Requirements

Education and Experience Requirements:

  • High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience
  • Proficient in the use of Microsoft Office applications (Word, Excel)
