Description

JOB PURPOSE: Ensure the prompt and accurate production and/or processing of all accounts receivables, accounts payables, organizational billings and relevant reports, records and documentation. Maintain and reconcile designated schedules and general leger accounts.

ESSENTIAL JOB RESPONSIBILITIES:

30% - Prepare and submit customer invoices in a regular and timely manner

10% - Maintain timely and accurate Accounts Payables by reviewing, coding, and posting all invoices for payment. Record customer payments on a daily basis

20% - Maintain timely and accurate General Ledger for Endeavors Unlimited by updating and reconciling fixed assets, depreciation and pre-paid expenses and bank reconciliations in schedules and in general ledger.

7% - Record cash disbursements and manual checks related to credit card payments and ACH withdrawals.

5% - Record Endeavors Unlimited payroll expenses and reimbursed expenses

1% - Prepare and submit 1099's and unclaimed properties for Endeavors Unlimited.

10% - Prepare monthly sales tax reports for Endeavors Unlimited.

10% - Maintain timely and accurate accounts receivables for all contracts and jobs for Endeavors Unlimited. Provide accurate and timely reporting of data.

  • Produce monthly billing statements for each customer and enter into accounting software
  • Produce monthly A/R ledger for collections

2% - Prepare and assist in annual audit and various monitoring reviews conducted by funders throughout the year. Maintain confidentiality of all payroll and accounting information, and comply with internal control policies.

5% - Perform reporting duties in a timely and accurate manner

  • Reconcile bank statements monthly
  • Create and maintain adequate files for support of accounting function
  • Produce routine and periodic reports as required/requested

Position Requirements

ESSENTIAL QUALIFICATIONS:

EDUCATION: High School or equivalent reading and writing skills. Associate’s degree in accounting preferred.

EXPERIENCE: 3-5 years in full cycle accounting environment, accounts receivables experience (500+ accounts), accounts payable experience, 2-3 years in a heavy customer service focused environment; non-profit grant billing a plus.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.

EXCEPTIONS TO THESE CRITERIA MUST BE APPROVED BY THE DEPARTMENT HEAD.

ESSENTIAL KNOWLEDGE, SKILLS, and ABILITIES:

COMMUNICATION: Ability to communicate clearly and effectively via oral or written means. Ability to present a friendly and positive demeanor to people served.

COMPOSURE: Ability to remain calm and maintain self-control in the midst of difficult circumstances and emergencies. Ability to respond in a professional manner in all situations.

COMPUTER: Working knowledge of MS Office, intermediate level Excel, Access. Knowledge of accounting software programs, cost/funding programs a plus, MIP a plus; 45 WPM, 95% data entry accuracy.

DECISION MAKING: Ability to think analytically and determine proper account classification for transactions.

FINANCIAL: 10 key by touch. Strong math skills; making calculations; working with budgets; analyzing grant and funding budgets and reports.

PLANNING: Ability to plan ahead several months to a year.

TRAINING REQUIREMENTS:

Orientation: 5 hours

On the Job: 6 months for basic competency; 1 year to experience full cycle of duties

MACHINES, TOOLS, EQUIPMENT, WORK AIDS: Multi-line telephone, computer, ten key calculator, printers, copiers, faxes.

PHYSICAL REQUIREMENTS:

Frequent – Ability to communicate with parents and funding representatives in person and over the telephone.

Frequent – Ability to input data into computer, make calculations, complete paperwork, produce reports.

Frequent – Ability to review and analyze data; recognize concerns related to billing of grants and other funding.

Frequent – Ability to sit for prolonged periods of time.

Occasional – Ability to move to other offices and areas of the building.

WORKING CONDITIONS: Indoors: Office environment; normal noise conditions
