Downs Rachlin Martin PLLC is seeking a Receptionist/Legal Administrative Assistant in its Burlington, Vermont office. The successful candidate will be responsible for the professional and efficient operation of our busy reception area and will serve as the first point of contact for clients who call and/or visit the Firm. The ideal candidate will be organized, a team player, detail-oriented, and be able to multi-task with a professional demeanor. Qualified candidates must be able to work collaboratively with legal professionals and attorneys and have exceptional oral and written communication skills. Responsibilities will include operation of our telephone system, directing calls in a professional and courteous manner to the appropriate individual; greeting clients and visitors; assisting with word processing or other projects; and taking inventory of/and ordering office supplies. Knowledge of Microsoft Word along with proficiency in Excel and Outlook and an ability to learn new software quickly is a must. Candidates will possess an Associate’s Degree and a minimum of two years’ experience in a receptionist, administrative or other customer service industry position. Overview:

Performs in staff support role greeting all clients, guests, vendors, etc. upon arrival to office in a professional and courteous manner.

Duties:

Client Contact

  • Greets clients, guests, visitors and vendors to the firm’s office and notifies appropriate individuals of arrival.
  • Offers refreshments upon arrival of clients and visitors as appropriate.
  • Operates the firm’s telephone system and directs callers to the appropriate personnel or into the voice mail system.
  • Responds to inquiries from employees, clients, guests, visitors and vendors and refers inquiries, when necessary, to the appropriate person or department.
  • Handles all in-house paging if needed.
  • Provides callers with relevant information such as office addresses, directions, fax numbers, website information and other related information.
  • Monitors employees, clients, visitors and guests coming and going through the reception area.
  • Aware of and reports suspicious activity promptly.

Administrative

  • Maintains conference rooms and reception area in a neat and organized fashion.
  • Assists office clerks and/or secretaries with catering and luncheon needs.
  • Responsible for ordering, receiving, stocking and distribution of office and kitchen supplies.
  • Order, pick-up and deliver breakfasts and/or lunches for committee, practice group, client/guest or other meetings.
  • Directs packages to their appropriate destinations and assists with large mailings when requested.
  • Coordinates the pick-up and delivery of express mail services (i.e. UPS, FedEx, etc.).
  • Reports the need for building repairs to maintenance and/or property manager.
  • Attends to and completes any other duties and tasks appropriate for the reception area as requested by other staff, including support staff, legal staff, administrative or information technology staff, or maintenance staff.
  • Coordinates with local courier service pick-up and delivery of documents and packages.
  • Orders flowers, food/gift baskets, and/or acknowledges various occasions.

Essential Functions and Minimal Qualifications

  • Possesses a pleasant and professional demeanor at all times with clients, guests, visitors, and all firm personnel.
  • Ability to handle the firm’s telephone and voicemail system.
  • Ability to perform word processing tasks.
  • Proficiency in Microsoft Office and its applications.

Associates Degree and a minimum of 2 years’ experience in a receptionist, administrative or other customer service industry position required.
