Description

Endeavors utilizes multiple electronic health and case management records. The Database Specialist will assist in the creation, maintenance and dissemination of information related to services to clients and program outcomes. This includes data input, data quality, building reports, user support, and analysis of client information updated into the electronic record. This position also provides support to Program teams by troubleshooting application and data problems as well as fulfilling data requests.

 
Position Requirements

ESSENTIAL JOB RESPONSIBILITIES:

50% Serve as project manager responsible for working with program staff and Electronic Health/Client Record vendor to manage the implementation of electronic records, to include completing agency-specific setup (e.g. adding staff profiles), managing end user training and coordinating all integration testing, as well as managing implementation timeline and deliverables. Serve as primary point of contact for all end users for first level support on EHR. Participate in regular meetings with program staff regarding data compliance and EHR functionality.

20% Disseminate information related to program details to program leadership and provide guidance as needed. Generate data queries based on validation checks or errors and omissions identified during data entry to resolve identified problems. Proactively identify errors and inconsistencies in data and work directly with program staff to address inaccuracies and gaps. Conducts audits of data entry to ensure accuracy and makes corrections as needed.

10% Create reports, graphs, tables, charts etc. that effectively presents and summarizes data.

5% Receives, inspects, validates, transforms, cleanses, and loads data received in a variety of formats (e.g., Excel, CVS, XML) from a variety of sources.

10% Ensure that new Program staff receive all necessary training on the database and have access to all documentation regarding EHR and other data collection processes, policies and help related materials for end users; provide refresher training to staff as needed.

5% Other duties assigned as appropriate for the position and skill level of incumbent.

ESSENTIAL QUALIFICATIONS:

EDUCATION: Bachelor’s degree related to information management, data analysis, and statistics.

EXPERIENCE:

Requires data or information management related systems experience. 2+ years in a customer service focused environment. Strong analytical and problem skills including the ability to apply reason, logic and critical thinking in order to gather, analyze, manipulate data, identify, isolate and correct data errors. Use these skills to determine root cause and impact of data anomalies.

  • Experience with managing data, data analysis or data quality assurance
  • Experience with health data systems preferred, experience with behavioral health systems a plus
  • Advanced proficiency with Microsoft Excel
  • Extremely high attention to detail and strong organizational skills
  • Excellent written and oral communication skills
  • Strong interpersonal skills with the ability to work well with individuals across all organizational levels
  • Problem solver and self-starter who takes initiative
  • Equally comfortable working collaboratively and independently

LICENSES: Driver’s License with clear record required.

VEHICLE: Must have daily use of a vehicle without prior notice. Up to 40-50% travel within county and surrounding areas.

OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates. Must be available and willing to work nights, weekends and holidays as required to meet business needs. Must not pose a direct threat or significant risk of substantial harm to the safety or health of himself/herself or others.

EXCEPTIONS TO THESE CRITERIA MUST BE APPROVED BY THE DEPARTMENT HEAD.

ESSENTIAL KNOWLEDGE, SKILLS, and ABILITIES:

COMMUNICATION: Ability to communicate clearly and effectively via oral or written means. Ability to present a friendly and positive demeanor to families, staff, personnel, funders, and the general public. Ability to make oral presentations to large and small groups.

COMPOSURE: Ability to remain calm and maintain self-control in the midst of difficult circumstances and emergencies. Ability to respond in a professional manner in all situations.

COMPUTER: Working knowledge of Outlook, Word and Excel; PowerPoint and Access a plus. 45 WPM, 90% accuracy.

DECISION MAKING: Ability to think analytically and evaluate the impact of recommendations. Ability to set work priorities and to evaluate and create solutions to work related problems.

SUPERVISION: Ability to train, evaluate and guide employees. Ability to delegate and ensure follow through. Ability to provide feedback in a respectful and constructive manner.

TRAINING REQUIREMENTS:

Orientation: 5 hours

On the Job: 6 months for basic competency

MACHINES, TOOLS, EQUIPMENT, WORK AIDS:

Multi-line telephone, computer, ten key calculator, printers, copiers, faxes.

PHYSICAL REQUIREMENTS:

Constant – Ability to communicate with veterans, their family members, staff and community/support services personnel to determine needs and actions to be taken.

Frequent – Ability to record information, input data into computer, complete paperwork, produce reports.

Frequent – Ability to drive safely and recognize hazards.

Occasional – Ability to lift, stack, load and move up to 25 pounds from varied heights.

WORKING CONDITIONS:
