About the Organization The mission of Fenway Health is to enhance the wellbeing of the lesbian, gay, bisexual, and transgender (LGBTQIA+) community and all people in our neighborhoods and beyond through access to the highest quality health care, education, research, and advocacy. Fenway Health was founded in 1971 and has grown from a less than 10 person operation in the basement of a building near the Boston Fens to one of the largest LGBT-focused organizations in the world. It consists of three main centers:

• Fenway Community Health Center, our clinical arm, which is a federally qualified health center that operates three clinic sites (Fenway:1340, Fenway:South End, and the Sidney Borum, Jr. Health Center) in the Boston area and provides over 30,000 patients with primary and specialty medical care, behavioral health care, optometry care, and dental care;

• The Fenway Institute, our research/training/education/policy development arm, which houses numerous research initiatives as well as the National LGBT Education Project, the LGBT Aging Project, the National Center for Innovation in HIV Care, and the Center for Population Research in LGBT Health; and

• AIDS Action, our HIV/AIDS service organization, which provides nonclinical services (case management, housing and legal assistance, outreach, peer support) to people living with HIV/AIDS and operates numerous programs focusing on HIV/STD prevention/testing/treatment, including the Access (drug user health program), TransCEND (transgender peer support and risk reduction program), and Youth on Fire (drop-in center for homeless and street-involved youth) programs.

Reporting to the Office Manager of Dental, the Dental Administrative Supervisor oversees and participates in patient services related duties in the dental department. Those duties include customer service, registration, scheduling, billing, and troubleshooting any issues.

Representative Duties:

  1. Core Administrative Duties
  • Responsible for ordering Dental office supplies
  • Maintain supply inventory by checking inventory daily
  • Process weekly deposits
  • Attend EOC and Telecommunication meetings
  • Prepare and Process department purchase order forms
  • Process PT-1 Forms
  • Responsible for overseeing the sending/receiving dental records to patients and other dental offices
  1. Provide training and supervision to assigned staff following FCHC policies and procedures
  • Adhere to the best practices of successful staff supervision
  • Insure that staff receive a comprehensive program orientation
  • Insure that staff receive sufficient training regarding the full range of their responsibilities
  • Provide regular written evaluations of assigned staff following agency evaluation guidelines
  • Make employment-related decisions regarding assigned staff within the scope of defined authority and following established agency and program guidelines
  • Define performance expectations and daily duties
  • Maintain bi weekly one on one staff meetings to ensure staff have accurate and most updated information
  1. Assist front desk and provide excellent customer service
  • Greet each client with a smile and welcoming, professional manner
  • Answer each phone call in a cheerful and professional manner
  • Log information on calls received, where required and maintains detailed and accurate records
  • Provide clients with correct and accurate information regarding FCHC services and providers (Ask for input from team colleagues if unsure of correct response to inquiries)
  • Refer unusual or difficult situations to management
  • At all times maintain patient confidentiality, speak in quiet tones at the desk with colleagues and clients and behave appropriately for a highly visible position
  • Be discrete when obtaining sensitive information from clients
  • Establish and maintain effective working relationships with co-workers, supervisors and the general public
  • Perform reception duties in an efficient, professional and courteous manner
  • Serves at point person for dental providers and patients to change client demographic data
  • Takes patient complaints, follow up and ensures feedback and resolution
  1. Accurately perform registration process for new and existing patients
  • Accurately register and enter new patient demographic data and insurance information in system
  • Verify existing patients’ demographic data and insurance information at each visit; accurately record and enter any changes received
  • Collect co-payments and agreed fees at check in
  1. Schedule appointments according to established procedures
  • Schedule appointments according to the patient’s needs and provider availability
  • Follow established procedures
  1. Collection of daily cash and audit procedures
  • Collect client payments and record in timely and accurate manner
  • Verify all transactions at the end of the day and report all discrepancies
  • Run daily reports in a timely manner and according to written guidelines
  1. Assist in billing duties
  • Enter all relevant encounter form information on daily basis
  • Accurately enter all information required to submit correct claims to 1st and 3rd party payers
  • Post information from daily cash grids
  1. Contact Insurance companies for benefit breakdowns
  • Contacts insurance companies via phone or web
  • Input data received into patients file
  1. Contact patients to discuss insurance benefits/payments; pre-authorizations
  • Contact patients reminding them of their appointments while answering patients inquiries outlining benefits for treatment plans

Position Requirements
  • Bachelor’s degree, or Associate’s degree and two years related experience
  • Minimum of 2 years office experience
  • Previous supervisory experience preferred
  • Previous customer service experience
  • Knowledge of business procedures
  • Excellent computer skills
  • Knowledge of spreadsheet and word processing applications
  • Willingness to work with diverse patient population
  • Bilingual English/Spanish a plus
  • Experience working in an ethnically, culturally, and racially diverse environment preferred
  • Ability to work harmoniously with diverse groups of individuals required
