Board and Community Relations Manager

Job Summary:

This position manages relationships with the Museum’s Board of Trustees and interacts with Academy’s Board Relations Manager, Board of Governors and other Museum or Academy committees as necessary. This includes organizing and executing board related functions, such as board meetings, and engaging with board and committee members. In addition, this position is responsible for building relationships with local civic, political, and business leaders, including reaching out to these external leaders in Southern California to represent and promote the Museum and its goals. The position reports to the Director of the Museum and is responsible for managing the Executive Assistant.

Duties and Responsibilities:

  • Schedule and manage logistics, reporting and correspondence, and activities for all board and community related meetings and events.
  • Take initiative to engage in positive and effective communication strategies with Board members and local leaders and/or their assistants.
  • Prepare agendas, manage presentations, attend all board-related meetings, take notes, record, and transcribe meeting minutes; as well as maintain documents and files for meetings.
  • Manage and coordinate all activities/events for board and committee member orientation, training, trips and retreats.
  • In association with the Development office, prepare donor related communication on behalf of the Director.
  • Maintain records of Board and Committee proceedings, create binders, archiving system, select content posted to website and archiving system.
  • Manage and execute communication efforts to keep Board and Committee members up to date.
  • Communicate directly, on behalf of the Director, with Board members, donors, museum staff, local leaders and other constituents and represent the Director in meetings, as required.
  • Develop strategy and programs designed to represent the organization favorably and make positive contributions to the community.
  • Creates and plans programs that engage and support the community and employees.
  • Manage annual calendar that reflects key dates for the Board, Committees and local events.
  • Develops and expands relationships with community leaders.
  • Supports marketing initiatives and represents the organization at local events.
  • Potential to direct or administer the charitable contributions, grants and volunteer programs.
  • Keeps Director and senior staff abreast of significant matters within the Museum Board and local leaders and foster positive relationships on his behalf.
  • Other tasks as assigned.
 
Position Requirements
  • Bachelor’s Degree required, or equivalent work experience in fund-development, business administration or related field.
  • Minimum of two years’ experience working in an executive level administrative position.
  • Ability to identify meeting participants, record meeting minutes and interact with Board members, trustees, donors, visitors and staff.
  • Must be able to handle multiple priorities with a high level of maturity and professionalism.
  • Acknowledgment of and respect for highly confidential information.
  • Excellent written and oral communication skills. Ability to independently handle written communications as a representative of the Director or serves as a spokesperson in his absence.
  • Proven ability to think and act strategically as well as possessing the ability to be highly detailed.
  • Excellent social skills and the ability to deal with interactions with people from a wide diversity of backgrounds and cultures.
  • Must be able to produce extensive computer-generated reports and correspondence.
  • Must be able to communicate extensively and effectively with Board members, donors, staff, and visitors, via telephone/TTY, one-on-one conversations, various meetings, task forces and written correspondence.
  • Must possess the ability to respond quickly to numerous questions and concerns.
  • Requires the ability to navigate inside the administration office space. Position occasionally requires the ability to work into evening hours, routinely negotiate local travel, and must be able to sit or stand for extended periods of time.
