Description

Ensure the efficient operation of all programs through supervision of maintenance, facilities, property, and fleet.

 
Position Requirements

ESSENTIAL JOB RESPONSIBILITIES:

2% Manage and maintain facilities and grounds. Receive and prioritize facility and grounds maintenance requests. Monitor and coordinate scheduling and completion. Assign work between Facility Maintenance Specialist and self. Request and coordinate with contractors as needed. Perform quality checks of work done by staff and contractors; ensure work is completed and finished in a professional manner.

65% Perform routine and emergency maintenance and repairs to include plumbing, carpentry, electrical, HVAC, dry wall repair, painting. Purchase supplies and parts as needed; obtain appropriate approvals.

5% Perform and document periodic walk-throughs and inspections for Main Office, CSR Center and lodges. Check function of smoke detectors, fire extinguishers and security systems. Check for plumbing leaks as well as observing condition of lights, equipment, windows, doors and locks, a/c units and toilets. Check for and remove all graffiti. Perform needed repairs, reporting significant issues to Supervisor.

10% Perform administrative duties in a timely and accurate manner

·Answer and respond to phone calls and emails

  • Track and document time and money spent per program/department
  • Secure credit card and submit receipts to accounting on a timely basis
  • Maintain files; vendor service contracts, service requests, equipment/inventory
  • Approve staff leave requests, timesheets and mileage reimbursements
  • Monitor and maintain supplies necessary for facility and grounds maintenance
  • Develop and revise relevant policies and procedures as needed

2% Respond to program needs for special projects

  • Plan and set up structural needs
  • Assemble, set up and/or move furniture and equipment
  • Pick up and delivery of donations
  • Provide input regarding facility needs/impact analysis

4% Supervise Facilities Maintenance Specialist

  • Interview and make quality hiring decisions
  • Train staff as required to fulfill duties
  • Schedule as needed; assume duties as needed in their absence
  • Monitor performance; provide ongoing feedback, timely evaluations and disciplinary actions as necessary
  • Provide ongoing training and encourage professional development

2% Coordinate facility, janitorial and grounds maintenance services for all properties owned, leased or operated in. Manage vendor contracts related to operations. Conduct annual review of existing contracts and coordinate all new contracts; forward to supervisor for approval.

ESSENTIAL QUALIFICATIONS:

EDUCATION: High School or GED. Associates degree or vocational/trade certificate in Construction, HVAC or Logistics preferred. Experience with purchasing and/or transportation a plus.

EXPERIENCE: 3 – 5 years experience in diverse maintenance functions, 5+ years preferred; 3 – 5 years supervisory experience, 5+ years preferred; 2 – 3 years in a customer service focused environment.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.

LICENSES: Drivers License and clear record.

VEHICLE: Must have daily use of a vehicle without prior notice.

OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates; including deployment within 24 hours to disaster locations for as long as 2 – 4 weeks. Must be available and willing to work nights, weekends and holidays and on an on-call basis as required to meet business needs and report on short notice. Must not pose a direct threat or significant risk of substantial harm to the safety or health of himself/herself or others.

EXCEPTIONS TO THESE CRITERIA MUST BE APPROVED BY THE DEPARTMENT HEAD.

ESSENTIAL KNOWLEDGE, SKILLS, and ABILITIES:

COMMUNICATION: Ability to communicate clearly and effectively via oral and written means. Ability to present a friendly and positive demeanor to customers, residents/clients served, staff, vendors and the general public.

COMPOSURE: Ability to remain calm and maintain self-control in the midst of difficult circumstances and emergencies. Ability to respond in a professional manner in all situations.

COMPUTER: Working knowledge Word and Excel. Ability to use the internet for research.

DECISION MAKING: Ability to set work priorities and to evaluate and create solutions to work related problems. Ability to think analytically and evaluate the impact of decisions.

DRIVING: Demonstrated competency driving a cargo van.

FINANCIAL: Strong math skills; ability to estimate costs, develop a budget and operate within it.

NEGOTIATION: Ability to request, collect and assess bids for service contracts. Ability to persuade and influence vendors in order to negotiate best pricing, non profit and/or bulk rates. Ability to present the organization in a professional manner in all negotiations.

SUPERVISION: Ability to train, evaluate and guide employees as normally acquired during three or more years of experience as a supervisor. Ability to delegate and ensure follow through. Ability to provide feedback in a respectful and constructive manner.

TECHNICAL: Working knowledge of plumbing, electrical, carpentry, painting, dry walling and various interior repair work. Knowledge of operating compressor, power and hand tools.

TRAINING REQUIREMENTS:

Orientation: 5 hours

On-the-Job: 1 to 2 months

Annual Training: Recertification in CPR, annually, and First Aid, every three years

MACHINES, TOOLS, EQUIPMENT, WORK AIDS:

Multi-line telephone, computer, ten key calculator, printers, copiers, faxes. Cart, compressor, dolly, power tools, hand tools, sprayer, paint equipment. Pallet jack, dolly, inventory scanner.

PHYSICAL REQUIREMENTS:

Constant – Ability to communicate with customers and staff to determine needs, to obtain information and quotes and to direct daily work assignments.

Constant – Ability to operate hand/power tools (to 25 pounds); grasp and manipulate supplies and parts.

Constant – Ability to bend, kneel, reach, stoop, push or pull to move or reach under, over, behind items to make repairs.

Constant – Visual perception to recognize traffic lights, road signs, discern road/driving conditions and hazards and drive safely.

Frequent – Ability to operate and maintain control of a vehicle.

Frequent – Ability to input data, make calculations, complete paperwork, produce reports.

Occasional – Ability to climb ladders, reach high and/or awkward places.

Occasional – Ability to lift, stack, load, etc. up to 50 pounds from varied heights.

WORKING CONDITIONS:

Indoors: 70 % - Office, residential and warehouse environments; occasional heights. Occasionally exposed to fumes, airborne particles, toxic/caustic chemicals, risk of electrical shock. Generally normal noise levels.

Outdoors: 30 % - All weather conditions and variable temperatures.
